ClickUp Timeline Task Management
The Timeline view in ClickUp helps you plan, schedule, and manage tasks over time so your team can see exactly what is happening and when. This guide explains how to add tasks, adjust dates, and organize work using Timeline view features.
Access Timeline view in ClickUp
To work with tasks on a timeline, you first need to open the correct view in ClickUp.
- Open the Space, Folder, or List where your work is stored.
- From the view bar, select the Timeline view tab, or create a new Timeline view if needed.
Once Timeline view is open, you can see tasks plotted by their start and due dates along a horizontal calendar.
Add tasks from ClickUp Timeline view
You can create new tasks directly from the Timeline so work is scheduled from the start.
- Hover over the date row where you want to place the task.
- Click on the empty spot in the Timeline.
- In the task creation modal, enter the task name.
- Confirm or adjust the start and due dates that match the position you clicked.
- Fill in any other fields your workflow requires, then save.
The new task will appear in the same Timeline position and in any other views for that List or Folder.
Schedule and reschedule tasks in ClickUp Timeline
When tasks already exist, you can visually schedule or adjust them on the Timeline.
Drag tasks to change dates in ClickUp Timeline
- Locate the task bar on the Timeline.
- Click and drag the entire bar left or right to change both the start and due date.
- Release when the task is lined up with the desired dates.
The dates in the task details update automatically as you move the bar.
Extend or shorten task duration
- Hover over the left or right edge of the task bar.
- When the resize handle appears, click and drag to increase or decrease the duration.
- Release to set the new start or due date.
Use this to reflect more accurate timelines as work changes.
View and manage unscheduled tasks in ClickUp
Some tasks may not yet have dates. Timeline view lets you keep these visible so they are not forgotten.
Show unscheduled tasks
- Open the Timeline view toolbar.
- Look for a panel or option labeled for unscheduled or no-date tasks.
- Enable it to display tasks without start or due dates.
These items typically appear in a separate area beneath or beside the main Timeline.
Schedule unscheduled tasks
- From the unscheduled section, drag a task onto the Timeline.
- Drop it on the date where work should begin or be due.
- Adjust duration by dragging the ends of the task bar as needed.
As soon as you drop the task, ClickUp assigns dates based on its position.
Group tasks in ClickUp Timeline view
Grouping helps you understand workloads and relationships between tasks across people, statuses, or other fields.
Group by assignee in ClickUp
- In the view toolbar, find the Group option.
- Select Assignee from the dropdown.
- Timeline lanes are rearranged so each assignee has their own row or section.
This grouping makes it easier to see who is overbooked or available on specific days.
Other grouping options
Depending on your workspace setup, you can also group tasks by:
- Status to see work by stage in your process.
- List or Folder to keep projects visually separated.
- Custom fields that track departments, priorities, or workstreams.
Use these options to align Timeline view with your reporting and planning needs.
Filter and sort tasks on ClickUp Timeline
Filters and sorting control which tasks are visible and how they are arranged.
Use filters in ClickUp Timeline
- Click the Filter control in the view toolbar.
- Add conditions such as:
- Specific assignees or teams.
- Statuses like Open, In Progress, or Closed.
- Priorities or custom field values.
- Apply the filter to see only relevant tasks on the Timeline.
Filters make it easier to focus on one project, team, or phase at a time.
Sort tasks for clearer views
- Open the Sort option in the toolbar.
- Sort by fields such as priority, status, or due date.
- Combine sorts and filters to build focused Timeline perspectives.
Sorting affects how tasks are ordered within their lanes, improving readability for busy schedules.
Customize ClickUp Timeline display
The Timeline view includes display settings so you can see the right time range and level of detail.
Adjust the time scale
- Use the zoom or time scale controls at the top of the view.
- Switch between days, weeks, or months depending on your planning horizon.
- Zoom in for detailed daily work or out for long-term roadmaps.
Choosing the correct scale ensures tasks do not overlap unnecessarily and makes durations more obvious.
Configure visible fields
- Open the Settings or Customize menu in the Timeline view.
- Select which fields you want to see on task cards, such as status, priority, or custom fields.
- Save your preferences for that view.
This customization helps you surface the most important information without opening each task.
