Time Estimates per Assignee in ClickUp

Time Estimates per Assignee in ClickUp

In ClickUp, you can set separate time estimates for each assignee on a task so you can plan workloads accurately, forecast timelines, and keep your projects on track.

This how-to guide walks you through enabling per-assignee estimates, adding and editing them on tasks and subtasks, and understanding how rollups and reporting work.

What are per-assignee time estimates in ClickUp?

Per-assignee time estimates let you assign a specific amount of estimated time to each person responsible for a task or subtask. Instead of one shared estimate for everyone, each assignee gets their own value.

This is especially helpful when:

  • Multiple people collaborate on the same task.
  • Each assignee has a different scope of work.
  • You need accurate capacity and workload planning.

When configured correctly, per-assignee estimates roll up through subtasks and show in views, dashboards, and reporting tools.

Requirements to use ClickUp per-assignee estimates

Before you can add per-assignee time estimates, a few requirements must be met:

  • Your Workspace must have the Time Estimates ClickApp enabled.
  • You must enable the option to set estimates per assignee.
  • You need appropriate permissions to edit tasks in the Space, Folder, or List.

The feature is configured at the Space level but can also be adjusted from the Workspace ClickApps settings.

How to enable per-assignee time estimates in ClickUp

To start using per-assignee estimates, first turn on the Time Estimates ClickApp and its per-assignee option.

Step 1: Open ClickUp ClickApps settings

  1. Open your Workspace in ClickUp.
  2. Click your avatar or Workspace menu to open Settings.
  3. Navigate to ClickApps.

From this screen you can manage features for all Spaces in your Workspace.

Step 2: Enable the Time Estimates ClickApp

  1. In the ClickApps list, locate Time Estimates.
  2. Toggle the ClickApp on for your Workspace.
  3. Select the Spaces where you want Time Estimates to be available.

Once enabled, you will see an Estimates field on tasks in those Spaces.

Step 3: Turn on per-assignee estimates in ClickUp

  1. With Time Estimates still open, locate the option for Set estimates per assignee.
  2. Toggle this option on.
  3. Confirm that the Spaces you want to use are selected.

After this is enabled, tasks in selected Spaces will support separate estimates for each assignee instead of a single combined value.

How to add per-assignee time estimates in ClickUp

Once the feature is enabled, you can add per-assignee estimates directly on tasks and subtasks.

Step 1: Open a task that supports ClickUp time estimates

  1. Navigate to the relevant Space, Folder, or List.
  2. Open a task where Time Estimates are enabled.
  3. Ensure the task has at least one assignee. If not, assign the task first.

Per-assignee fields only appear when the task has assignees.

Step 2: Add time estimates for each assignee

  1. Locate the Time Estimate field in the task view.
  2. Click the estimate field to open the per-assignee panel.
  3. For each assignee listed, enter the estimated time (for example, 1h 30m or 90m).
  4. Click outside the panel or press Enter to save.

Each assignee now has their own estimate, and the task shows a combined total where appropriate.

Step 3: Edit or remove per-assignee estimates

You can change or clear estimates at any time:

  1. Reopen the Time Estimate field on the task.
  2. Adjust the value next to any assignee to increase or decrease their estimate.
  3. To remove an estimate, clear the value so the field is empty.

Updates take effect immediately and will be reflected in workload, reporting, and rollup totals.

Using ClickUp per-assignee estimates on subtasks

Per-assignee time estimates also work on subtasks. This is useful when large deliverables are broken into smaller pieces with different owners.

To apply estimates on subtasks:

  1. Open a parent task that has subtasks.
  2. Select a subtask and assign it to one or more people.
  3. Use the Time Estimate field on the subtask to add per-assignee values, just as you would on a task.

Each subtask’s estimates are stored separately, and you can manage them independently from the parent task.

How ClickUp rolls up per-assignee time estimates

Rollup behavior determines how estimates from subtasks contribute to the parent task and to higher-level reporting.

  • Subtask estimates contribute to the total estimated time when rollup is enabled in the view or widget.
  • Per-assignee data can be used in workload and capacity planning tools to show how much time is assigned to each person.
  • Task and subtask estimates can be combined to show a total estimate for the entire work item.

This ensures that your planning reflects all underlying effort, not just the parent task’s estimate.

Where ClickUp per-assignee estimates appear in views

After you set per-assignee estimates, they can appear in multiple places:

  • List view: Show a Time Estimate column to see totals and use grouping or filtering.
  • Board view: View estimates on task cards for quick reference.
  • Workload view: Analyze assignee capacity based on estimate totals.
  • Dashboards: Add widgets that summarize time estimates by assignee, List, or status.

Depending on your configuration, you may see both the combined estimate and the breakdown by assignee.

Best practices for ClickUp time estimates per assignee

To get the most accurate planning from per-assignee estimates, follow these best practices:

  • Estimate at the right level: Use subtasks for granular work and estimate each one per assignee.
  • Keep estimates updated: Adjust as scope changes so capacity reports stay accurate.
  • Standardize units: Decide whether your team uses minutes or hours and stay consistent.
  • Use views and Dashboards: Combine List, Workload, and reporting widgets to monitor assigned time.

Consistent use of estimates improves forecasting and reduces overloaded schedules.

Troubleshooting ClickUp per-assignee estimates

If you do not see per-assignee estimate options, check the following:

  • Confirm the Time Estimates ClickApp is enabled for your Workspace.
  • Verify Set estimates per assignee is toggled on.
  • Make sure you are working in a Space where this ClickApp is enabled.
  • Check that the task has at least one assignee.
  • Ensure you have permission to edit tasks in the Space or List.

If issues continue, refer to the original documentation at this ClickUp help article or contact Workspace admins for configuration help.
