Restore Deleted Items in ClickUp

Restore Deleted Items in ClickUp

When you delete tasks, Docs, or other objects in ClickUp, they are not always gone forever. Most items first move to Trash, where Workspace owners and admins can restore them for a limited time. This guide explains how to find Trash, what can be recovered, and how to restore deleted items safely.

How ClickUp Trash Works

Trash in ClickUp is a workspace-wide area where removed items are stored temporarily before being permanently deleted. Access to Trash depends on your role and the location of the deleted item.

From Trash, you can:

  • Search for deleted tasks, Docs, views, and more
  • Filter results by item type, Space, Folder, or List
  • Restore items to their original locations when possible
  • See who deleted an item and when it was deleted

Items are kept in Trash for a retention period defined by the workspace settings or plan limits. After that, they are permanently removed and cannot be recovered.

Permissions to Restore Items in ClickUp

Not every user in ClickUp can restore deleted objects. Permission depends on your workspace role and on the item type.

  • Workspace owners and admins can view and restore items from the main Trash page.
  • Members and guests may be able to see limited Trash options in specific locations if they deleted the item themselves or have sufficient permissions.
  • Certain advanced objects may only be managed by admins or owners.

If you do not see Trash in your ClickUp sidebar, contact a Workspace owner or admin to request access or help with restoring items.

Open the Workspace Trash in ClickUp

To access the main Trash for your workspace in ClickUp, use the left sidebar.

  1. Open your ClickUp workspace.
  2. Look at the lower-left corner of the sidebar.
  3. Select the Trash icon or label. This opens the Trash view for the entire workspace.

The Trash view shows deleted items grouped by type and location. You can search, filter, and restore from here.

Restore Items from Workspace Trash in ClickUp

From the workspace-level Trash page in ClickUp, you can restore multiple types of deleted content.

Use filters in ClickUp Trash

Filters help you quickly find the item you want to restore in ClickUp.

  1. In Trash, open the filter controls at the top of the page.
  2. Filter by one or more of the following:
    • Item type (tasks, Docs, views, Lists, Folders, Spaces, etc.)
    • Location (Space, Folder, or List)
    • Deleted by (who performed the deletion)
    • Date deleted (time range)
  3. Combine multiple filters to narrow down the results.

A search bar may also be available to search by item name or keyword.

Restore a deleted item from ClickUp Trash

After you have located the item in Trash, use the restore controls.

  1. Hover over the item you want to restore.
  2. Click the Restore button or the context menu option (often shown as three dots).
  3. Confirm the restore action if prompted.

The item is moved out of Trash and returned to its original location when possible. If the original parent location has been deleted, the item may be restored to a higher-level location, such as the Workspace, a Space, or a default area defined by ClickUp.

Bulk restore in ClickUp Trash

When working with many deleted objects in ClickUp, you can restore them in bulk.

  1. In Trash, select multiple items using the checkboxes alongside each row.
  2. Use the bulk action toolbar that appears.
  3. Choose Restore to bring all selected items back at once.

Bulk restore can be used for tasks, views, Lists, and other supported item types, subject to workspace permissions.

Restore Spaces, Folders, and Lists in ClickUp

Structural items such as Spaces, Folders, and Lists can often be restored directly from Trash in ClickUp, but they must still be within the retention period.

  1. Open the workspace Trash page.
  2. Filter by Item type and choose Space, Folder, or List.
  3. Locate the deleted Space, Folder, or List.
  4. Click Restore.

When you restore a Space, Folders and Lists within that Space may also be restored, depending on how they were deleted and current workspace rules.

Restore Tasks and Subtasks in ClickUp

Tasks and subtasks are among the most commonly deleted items in ClickUp. They can be restored individually or in groups.

Restore a single task from ClickUp Trash

  1. Open Trash from the left sidebar.
  2. Filter by Item type and select Task if needed.
  3. Search for the task by name or ID.
  4. Click Restore next to the task.

The task will reappear in its original List when possible and will bring back associated subtasks that were deleted as part of the same action, as allowed by ClickUp.

Restore multiple tasks in ClickUp

  1. From the Trash view, apply filters for tasks and the relevant Space or List.
  2. Select several tasks using checkboxes.
  3. Click the bulk Restore button.

Bulk task restoration helps recover many related items after a large cleanup or accidental deletion event.

Restore Docs, Whiteboards, and Views in ClickUp

Non-task content such as Docs, Whiteboards, and views can also be recovered from Trash in ClickUp when still inside the retention window.

Restore Docs and Whiteboards

  1. Open Trash in your ClickUp workspace.
  2. Filter by Item type and choose Docs or Whiteboards.
  3. Find the document or whiteboard you want to recover.
  4. Click Restore.

The Doc or Whiteboard will return to its earlier location or be made available in your Docs or Whiteboards section.

Restore views in ClickUp

List views, Board views, and other custom views can also be restored from Trash in ClickUp.

  1. In Trash, filter for View under item type.
  2. Locate the deleted view.
  3. Click Restore.

The restored view will be visible again in its original Space, Folder, or List, unless the parent location was also removed.

Use Location-Level Trash in ClickUp

In addition to workspace Trash, many locations in ClickUp have their own Trash section that shows items deleted specifically from that area.

For example, within a Space, Folder, or List, you may find a Trash section or option in its settings menu. When available:

  1. Open the Space, Folder, or List in ClickUp.
  2. Access its settings or sidebar menu.
  3. Select Trash for that location.
  4. Review recently deleted items limited to that specific area.
  5. Restore items using the same Restore controls as in the workspace Trash.

Location-level Trash is useful when you only need to manage deleted content for one part of your ClickUp hierarchy.

Limits and Permanent Deletion in ClickUp

Restoration is not always possible in ClickUp. Some constraints apply:

  • Items remain in Trash only for a limited retention period. After this, they are permanently deleted.
  • Once permanently deleted, items cannot be recovered through Trash.
  • If a parent Space, Folder, or List is permanently removed, related child items may also be unrecoverable.
  • Free and paid plans can have different retention rules and options.

For a full breakdown of current limits and supported behaviors, refer to the official documentation on the ClickUp Help Center at Restore items from the Trash.

Best Practices for Using Trash in ClickUp

To reduce risk and make restores easier in ClickUp, follow these practices:

  • Confirm you are deleting the correct Space, Folder, List, or task before removal.
  • Use roles and permissions so only the right people can delete sensitive items.
  • Check Trash promptly when you notice something missing.
  • Use filters and search effectively to find the right item quickly.
  • Document your internal procedures for requesting restores from Workspace admins.
