Master Your Personal List in ClickUp
Your Personal List in ClickUp gives you a private place to organize tasks from every Space, Folder, and List you have access to, without changing how work is structured for your team.
What is the Personal List in ClickUp?
The Personal List is a smart, private List automatically available to each member. It is not tied to any single Space or Folder and acts like a universal collection point for tasks you want to manage personally.
Key things to understand:
- It is visible only to you.
- It can include tasks from any public or private Space you can access.
- It is ideal for cross‑Space planning, focus, and daily work management.
How the ClickUp Personal List Works
The Personal List does not move tasks from their original location. Instead, it lets you add shortcuts to tasks so you can see and manage them together without changing their hierarchy.
Behind the scenes:
- Every task still lives in its original List.
- Adding a task to your Personal List simply adds a second location.
- Removing a task from your Personal List never deletes the task; it only removes that extra location.
Open Your Personal List in ClickUp
You can open your Personal List from the left sidebar at any time.
- Log into your Workspace.
- Look at the left sidebar, below Spaces and Favorites.
- Click Personal to open your Personal List.
Once opened, you can treat it like any other List: switch views, filter, sort, and group tasks as needed.
Add Tasks to Your Personal List in ClickUp
You can add existing tasks to your Personal List without affecting anyone else’s views.
Add a task from a task view in ClickUp
- Navigate to any List, Folder, or Space where the task lives.
- Open the task you want to add.
- At the top of the task, find the Locations section.
- Click + Add or + Add location.
- Select Personal from the options.
The task now appears both in its original List and in your Personal List.
Add tasks in bulk to your Personal List in ClickUp
- Open any List, Board, or Table view.
- Multi‑select tasks using the checkboxes on the left.
- Click the Bulk Action toolbar at the bottom.
- Select Change location or Add to (depending on your view options).
- Choose Personal as an additional location.
This is particularly useful for building a daily or weekly plan from different Lists.
Create New Tasks in the ClickUp Personal List
You can create tasks directly in your Personal List. These tasks still belong to a regular List in your Workspace; you are just choosing that List while creating the task.
- Open your Personal List from the sidebar.
- Click + New task at the top or bottom of your current view.
- In the task creation modal, choose the primary List where the task should live.
- Confirm that Personal is also set as a location if you want to keep it there.
- Add task details like title, assignee, due date, and custom fields, then save.
The task is now visible both in its original List and your Personal List, so you can coordinate work without duplicating tasks.
Use Views in Your ClickUp Personal List
Your Personal List supports multiple views so you can organize tasks in the way that suits you best.
Common views you can add:
- List view for a simple, linear task list.
- Board view for a Kanban‑style workflow.
- Calendar view for date‑focused planning.
- Table view for spreadsheet‑like organization.
- Workload or Timeline views depending on your plan and permissions.
Create a new view in the ClickUp Personal List
- Open your Personal List.
- Click + View at the top of the screen.
- Select the view type you want, such as List, Board, or Calendar.
- Configure filters, grouping, and sorting as needed.
- Turn on Make default if you want this to be the first view you see when opening your Personal List.
These views apply only to your Personal List and do not affect views in other Lists.
Privacy and Sharing for the ClickUp Personal List
The Personal List is designed to stay private to you.
- Only you can see your Personal List and its views.
- Other members cannot browse or open your Personal List.
- Tasks in your Personal List may still be visible to others if they have access to the original List, but your Personal List location itself is hidden.
You also cannot share the Personal List directly with other members or guests. To collaborate, share the underlying Lists or tasks instead.
Manage Tasks in Your ClickUp Personal List
Once tasks are in your Personal List, you can manage them just like any other task.
- Update statuses, assignees, and due dates.
- Add comments, attachments, and subtasks.
- Apply tags, priorities, and custom fields.
- Use filters to focus on what matters today or this week.
Remove tasks from the Personal List in ClickUp
Removing a task from your Personal List does not delete the task from your Workspace.
- Open the task from your Personal List.
- In the Locations area, hover over Personal.
- Click the x or Remove icon next to Personal.
The task remains available in its original List but no longer appears in your Personal List.
Best Practices for Using the ClickUp Personal List
To get more value from the Personal List, follow these recommended practices:
- Plan your day: At the start of each day, add the tasks you want to focus on to your Personal List.
- Use views strategically: Create a List view filtered to Today and a Board view grouped by status to track progress.
- Keep it clean: Regularly remove completed or no‑longer‑relevant tasks from your Personal List locations.
- Leverage filters: Filter by assignee (you), due date, priority, or tags to narrow your focus.
