Choose project management software for Mac by the hardest requirement, not by a universal ranking. If one person must edit and calculate a project file without internet access, assess local planners. If several people must update the same live work records, assess shared workspaces and their plan limits. If you only need personal task capture, a task manager may be enough.
The key distinction is ownership. A local planner gives one designated editor control of a project document, while a shared workspace gives several people access to common tasks or cards. File exchange, live co-editing, .mpp compatibility, and offline operation are separate capabilities. Evidence for one does not prove the others.
This guide turns that distinction into a selection and acceptance process. It covers advanced local scheduling, Microsoft Project file workflows, free desktop planning, personal task capture, shared team work, offline testing, and source-of-truth rules for teams using more than one system.
Choose the tool that passes your hardest acceptance test first. Compare convenience and price only among the products that meet the required offline, file, or collaboration behavior.
The right Mac project-management tool depends on who owns the plan
Use two questions to narrow the field:
- Must one person edit and calculate the plan without internet access? Start with local planners such as OmniPlan, Merlin Project, Project Plan 365, or ProjectLibre Desktop. Confirm the required operation in the edition you would buy.
- If not, must several people edit shared work records? Assess collaborative workspaces such as ClickUp, Asana, Notion, or Trello. Check the current plan for views, permissions, integrations, and offline restrictions.
If the answer to both questions is no, a personal task manager such as Things may be a simpler fit. This is a practical decision rule, not a strict technical taxonomy. Some products combine local documents, cloud storage, and shared records.
Choose the operating model before comparing features
One editor controls the schedule
A local planner opens, changes, calculates, and saves a project file. Assign a file owner and version procedure. Exchanging a file is not live co-editing, and conflicting copies need an explicit resolution process.
Several people update work records
A workspace stores shared tasks, cards, or records. Confirm permissions, plan eligibility, synchronization direction, and which system owns status, dates, dependencies, and assignments.
| Operating need | Candidates to assess | Evidence-backed capability | Adoption check |
|---|---|---|---|
| Advanced local scheduling | OmniPlan, Merlin Project | OmniPlan documents dependencies, resource management, leveling, .mpp and .xml exchange, earned-value analysis, reporting, and Monte Carlo simulation. | Check edition, platform, required fields, and offline calculations. Verify Merlin features and licensing in the current edition. |
| .mpp editing | Project Plan 365 | The vendor states that its Mac application can open, edit, and save .mpp files without conversion. | Round-trip a representative file and compare the fields your organization uses. |
| Free local scheduling | ProjectLibre Desktop | The vendor describes Desktop as free and open source, with task, resource, WBS, Gantt, and critical-path-related scheduling capabilities. | Keep Desktop separate from Cloud and AI services. Test the exact .mpp behavior required. |
| Personal task capture | Things | Its official feature page documents personal task-management features. | Use it when team ownership, dependencies, and schedule reporting are unnecessary. |
| Shared team work | ClickUp, Asana, Trello | These products support shared task or card workflows, with views and controls varying by product and plan. | Test permissions, plan eligibility, offline operations, and integration direction. |
| Document-led work | Notion | Notion Calendar can display dated database items and manage them with suitable permissions. | Do not treat a dated database or calendar view as dependency-aware scheduling. |
Compare Mac options by the work they need to do
Schedule-heavy planning: OmniPlan
OmniPlan documents dependencies, resource management and leveling, Microsoft Project .mpp and .xml exchange, iCalendar export, earned-value analysis, reporting, and Monte Carlo simulation. Its leveling function can reschedule tasks according to project and resource settings to avoid assigning resources above available units. That does not guarantee an optimal real-world staffing plan. Feature availability varies by platform and edition. See the OmniPlan feature documentation.
As of October 23, 2026, OmniGroup lists Standard at $199.99 USD, Pro at $399.99 USD, and an annual subscription at $199.99 USD. The purchase page describes access across Mac, iPhone, iPad, and Apple Vision Pro, subject to system requirements. Treat these as a dated snapshot and confirm the current edition and purchase terms at OmniPlan licensing.
Merlin Project: verify the edition before relying on it
Merlin Project’s current Mac licensing is subscription-based. The Express edition has a different feature scope from the full product, including differences around device synchronization, Kanban, mind maps, and Microsoft Project export. The vendor also documents read-only use without a subscription after the trial period, while creating, modifying, printing, or saving plans requires an active subscription. Check the Merlin Project licensing FAQ and current purchase flow before selecting an edition.
Do not carry over unverified extracted claims about Merlin pricing, Monte Carlo simulation, AI, or MCP connectivity. Confirm each feature directly if it is a buying requirement.
.mpp workflows: Project Plan 365
Project Plan 365 states that its Mac application can open, edit, and save .mpp files without import or export conversion. That is useful evidence for the file workflow, but it does not prove that every organization-specific field survives a round trip. Test custom fields, calendars, baselines, resource assignments, cost data, and constraints in your own file.
On October 23, 2026, the vendor page displayed Standard at $9.99 per user per month when purchased annually and Business at $16.19 per user per month when purchased annually. It also displayed higher monthly-equivalent reference prices. Treat these as dated USD observations. Confirm checkout terms, edition, and billing interval at Project Plan 365. The vendor distinguishes free read-only access from a 14-day editing trial in its trial information.
No-cost local planning: ProjectLibre Desktop
ProjectLibre Desktop documentation describes a free, open-source desktop application for macOS, Windows, and Linux, with task management, work breakdown structures, resource allocation, Gantt charts, and critical-path-related scheduling. The vendor’s terms distinguish Desktop from its hosted Cloud and AI services. Do not attribute Cloud pricing or AI capabilities to the free Desktop product. Test the specific import and export behavior your project requires.
Personal tasks: Things
Things is worth assessing for personal task capture and lightweight projects. Its official feature page supports personal task-management use, not a claim that it replaces dependency-aware team scheduling, shared progress, or team reporting. Confirm current Mac pricing separately because the supplied feature source does not verify a current purchase price.
Shared team workflows: ClickUp, Asana, Notion, and Trello
ClickUp and Asana are candidates for teams organizing tasks, views, dependencies, and workflow controls. Asana’s current pricing page documents plan-dependent views, dependencies, critical path, workflow builder, portfolios, and resource-management features. ClickUp’s current pricing page should be checked for Gantt charts, critical path, dashboards, API limits, and other plan-dependent controls.
Trello suits work that can be represented as cards and boards. Its official documentation describes rules, buttons, calendar commands, due-date commands, and connected-app automation. Check the exact action set and quotas for the selected plan. Do not assume that a board provides cross-project reporting, resource allocation, or dependency logic.
Notion can connect dated database items to Notion Calendar, with appropriate permissions. Its documented managed database connections are generally one-way, and synced properties may be read-only in Notion. A calendar display or editable dated database is not automatically a dependency-aware schedule. See the guidance for Notion Calendar and database items and Notion data synchronization.
A Gantt chart, shared tasks, .mpp exchange, and calendar display solve different problems. Write down the required capability as an operation, then test that operation in the edition and plan you would purchase.
Test offline work and .mpp compatibility with your own project
Offline support is a set of operations, not a yes-or-no label. Test whether the selected edition can open a project, create tasks, edit existing tasks, calculate dependencies, assign people, and synchronize changes after reconnection. ClickUp’s documented offline mode allows users to create tasks and reminders and view previously opened tasks and notes, but not edit existing tasks or create subtasks offline. Newly created tasks and reminders sync after reconnection. See ClickUp’s offline-mode documentation.
For .mpp compatibility, distinguish four claims: an app can open a file, edit it, save it, and preserve the fields your organization needs. Use a copy of a representative project. Compare task hierarchy, dependencies, calendars, baselines, custom fields, resource assignments, cost data, and constraints before and after saving and reopening the file in the original system.
Set collaboration rules and a source of truth
When two tools touch the same project, name one authority for task status, dates, dependencies, and ownership. Use other tools for read-only exports, links, or summaries unless write-back behavior has been tested. A calendar display, file exchange, and bidirectional synchronization are different workflows.
For an explicit action, prefer a deterministic rule over AI. If a Trello card moves to a named list, for example, a documented rule can assign a reviewer or update a checklist. Trello describes these rule-based actions in its automation guide. Check the selected plan and test the exact trigger and action. AI may draft a summary or classify an incoming request, but a person or deterministic validation should approve changes to authoritative dates, status, or ownership.
ClickUp documents a public REST API, OAuth, and webhooks. That establishes the existence of integration mechanisms, not a ready-to-run synchronization for a particular field. Before building cross-tool write-back, verify the supported event, object, operation, permissions, and rate limits in the current technical documentation.
For any proposed integration, use a record at the event grain. A task event should identify the source system, object type, stable object ID, source event or version, operation, destination, processing status, and error reason. Do not use only a project name and date, because multiple tasks and concurrent runs can share those values. If the vendor supplies a stable event ID, use it for replay detection. Otherwise, define an external operation key and enforce uniqueness with a database constraint or transactional upsert. A read-then-insert check alone is not safe when workers can process the same event concurrently.
Validate object existence, permissions, allowed status values, source version, and source-of-truth ownership before writing. Route conflicts, missing records, permission failures, and unclear ownership to the named workspace administrator. These are proposed implementation controls, not vendor-published payloads or guaranteed ClickUp behavior.
Teams configuring a ClickUp workspace or documented automations can review ClickUp setup and automation support. This is an optional configuration resource, not a claim that a particular integration is prebuilt.
Microsoft announced that Project Online retired on September 30, 2026. That announcement applies to Project Online, not automatically to Project desktop, Project Server, or Planner. Organizations using the retired service should separately confirm transition and data requirements with Microsoft’s retirement notice.
Make the purchase decision with a short verification checklist
Prices, plan names, system requirements, and feature limits change. Record the edition, billing interval, currency, retrieval date, and official URL for every price you use. Verify Mac availability separately from native Apple Silicon execution. A Mac application or M1/M2 installation path does not by itself prove universal-binary status or performance.
- Confirm the product edition, supported macOS version, and whether Apple Silicon execution is documented rather than inferred from Mac availability.
- List the exact offline operations required: open, create, edit, calculate, assign, and synchronize.
- Test required .mpp or other file fields by saving and reopening a representative copy in the original system.
- Confirm simultaneous editing, permissions, plan eligibility, and integration direction for the intended team workflow.
- For calendar links, determine whether the integration displays events, edits database records, exports a feed, or synchronizes changes back.
- Assign one owner for status, dates, dependencies, and conflicting edits before connecting a second tool.
If ClickUp is already your selected platform and you need an operational review, review an existing ClickUp workspace.
The practical choice is the tool that passes your hardest acceptance test: local schedule control, verified .mpp preservation, or shared team updates. Then compare convenience, adoption effort, and cost among the candidates that pass.
