Manage Automations in ClickUp
ClickUp offers powerful Automations that save time by handling routine work for you. This guide explains how to view, edit, manage, and troubleshoot Automations so your workspace stays organized and efficient.
Access the ClickUp Automations menu
You can manage Automations from Lists, Folders, Spaces, and Templates. Each level has its own Automations menu where you can see which rules are active and adjust them as needed.
-
Open the Space, Folder, or List where you want to manage Automations.
-
Click the Automate button in the toolbar.
-
Select the Manage tab to review existing Automations.
The Automations menu uses tabs and filters so you can quickly find the rules you need to update.
Understand Automations in ClickUp
Before changing any settings, it helps to understand how Automations in ClickUp work at different hierarchy levels.
- List-level Automations: Apply only to tasks inside a specific List.
- Folder-level Automations: Affect all Lists inside the Folder, unless a List has its own rules that override them.
- Space-level Automations: Impact every Folder and List within the Space that does not have more specific rules.
- Template-level Automations: Saved as part of Templates that can be reused across the workspace.
This hierarchy lets you design Automations that are either very broad or very targeted, depending on your workflow.
View and filter Automations in ClickUp
The Manage tab gives you a full overview of Automations in ClickUp at a specific level. Use filters and search to find what you are looking for.
Filter Automations by status
You can filter the Automations list by status:
- All: Shows both active and paused Automations.
- Active: Displays only Automations currently running.
- Paused: Displays Automations that are turned off but still available.
Use these filters to quickly identify rules that may need attention.
Search and sort Automations in ClickUp
When you have many rules, search and sort tools make it easier to manage Automations in ClickUp.
- Use the search bar to find Automations by name.
- Sort by status, last updated, or other available columns.
- Expand an Automation row to see the trigger, conditions, and actions.
This layout helps you review complex workflows at a glance.
Edit Automations in ClickUp
You can update an existing Automation to change how it behaves without recreating it from scratch.
-
Open the Automate menu and go to the Manage tab.
-
Find the Automation you want to change using filters or search.
-
Click the Automation row or an Edit option if shown.
-
Update any part of the rule, including trigger, conditions, or actions.
-
Click Save to apply your changes.
Edits apply to all future events that meet the updated conditions. Past tasks are not automatically changed when you edit the rule.
Common edits to Automations
When refining workflows in ClickUp, common Automation edits include:
- Adjusting triggers, such as status changes or due dates.
- Adding or removing conditions to narrow when the rule runs.
- Changing actions, for example assigning tasks, posting comments, or updating fields.
- Renaming the Automation so its purpose is clear to your team.
Pause or resume Automations in ClickUp
Sometimes you need to temporarily stop an Automation without deleting it. In ClickUp, you can pause or resume any Automation with a few clicks.
-
Go to the Automate menu and select Manage.
-
Locate the Automation you want to pause or resume.
-
Use the status toggle to switch between Active and Paused.
When paused, the Automation will not trigger, even if its conditions are met. You can resume it at any time, and it will continue to run on new events.
Delete Automations in ClickUp
If an Automation is no longer needed, you can delete it to keep your workspace clean.
-
Open the Manage tab for Automations.
-
Find the Automation you want to remove.
-
Click the menu icon (such as three dots) next to the rule.
-
Select Delete and confirm the action.
Deleted Automations cannot be triggered again. You may want to export or document complex rules before removing them.
Manage ClickUp Automation usage and limits
Workspaces may have Automation usage limits based on their plan. It is important to monitor how many actions are used so critical workflows do not stop unexpectedly.
- Open the Automations menu at the Space or Workspace level if available.
- Check the usage indicator to see how many Automation actions have run.
- Review which rules use the most actions and optimize them if needed.
If you consistently hit limits, consider adjusting conditions so Automations only run when absolutely necessary, or review your plan options.
Troubleshoot Automations in ClickUp
When a rule does not behave as expected, a few checks usually reveal the issue.
Confirm the Automation trigger and conditions
- Verify that the trigger matches what actually occurred, such as the correct status or field.
- Check each condition to make sure it is not too restrictive.
- Test by making a small change on a sample task to see if the rule runs.
Check Automation status in ClickUp
- Ensure the Automation is marked as Active, not Paused.
- Confirm that Workspace limits have not been reached.
- Look for any warning indicators in the Manage tab.
Review Automation logs or task history
Automations in ClickUp may leave a trace in task activity or logs, showing when they ran and what actions they took.
- Open the task that should have been updated.
- Check the activity or comments for entries created by Automations.
- Use this history to confirm whether the rule triggered and what it changed.
Use templates with Automations in ClickUp
Templates can include Automations so you can reuse powerful workflows across your workspace.
-
Create or open a List, Folder, or Space with the Automations you want to reuse.
-
Save it as a Template, making sure to include Automations in the template settings.
-
Apply the Template to new locations to quickly spin up the same rules.
This is helpful for standardized processes like onboarding, sprints, and client projects.
