Choose advertising management software by the operational job you need done, then verify the exact network, ad format, action and data output involved. A team connecting eligible ad clicks to CRM contacts has a different buying problem from a team coordinating paid and organic social content, retargeting website visitors or producing creative at scale.
Start with the bottleneck rather than a vendor list: campaign execution, retargeting, account-based marketing, social coordination, creative operations, programmatic inventory or CRM attribution. Advertising management software is usually a layer over native advertising accounts, not a universal replacement for them.
The practical sequence is simple: define the required output, map each channel to supported actions, test the data path with one real campaign and compare commercial proposals only after the must-have tests pass.
What advertising management software should do
Advertising management software coordinates some combination of ad execution, audience management, budgets, creative workflows, reporting and attribution. Scope varies considerably. One product may focus on a particular media channel, while another connects campaign activity to CRM records or account-level marketing signals.
Define the required output before comparing integrations or prices. Do you need a campaign published, an audience updated, spend reported by day, an identified contact associated with an eligible ad click, or revenue attributed under a stated model? “Connected” does not automatically mean that a product can create campaigns, change bids, sync audiences, attribute revenue or write data back to your CRM.
An integration label is only a starting point. The buying decision should be based on the exact channel-function pair and the resulting record or report your team must operate.
Match the product category to the operating problem
The following shortlist is decision-oriented, not a ranking or an exhaustive market review. Evidence depth differs by product, so treat each example as a starting point for a buyer check.
| Operational need | Example | Verified positioning | Buyer check |
|---|---|---|---|
| CRM-connected ad tracking | HubSpot Ads | CRM-connected advertising workflows and reporting on contacts and customers. | Confirm the network, format, tracking prerequisites and attribution report. |
| Website retargeting | AdRoll | Pixel-based website retargeting using visitor behavior. | Validate pixel firing, consent behavior, audience rules and package reporting. |
| Account-level B2B advertising | 6sense | Account identification, intent signals, predictive modeling and audience building. | Confirm data sources, account-level outputs and package availability. |
| Paid and organic social coordination | Hootsuite | Documented paid-social setup, publishing, management and review. | Verify the intended action for the specific network and ad account. |
| Media and creative workflows | Smartly | Official material positions the platform around media, creative and intelligence. | Demonstrate the channel workflow and reporting depth required. |
| Programmatic in-game inventory | StackAdapt | Programmatic in-game advertising with targeting and measurement. | Confirm inventory, buying model, onboarding and measurement method. |
Other vendors may fit these needs, including creative, person-based B2B, ecommerce and native advertising specialists. Their detailed capabilities and current commercial terms were not independently verified in this evaluation. Ask every shortlisted provider to demonstrate the exact operation required. A badge or marketplace listing is not evidence of campaign creation, bidirectional synchronization or revenue attribution.
Evaluate channel coverage, attribution and operating control
Build a channel-and-function matrix before a vendor demo. For each required network, record whether the product supports campaign creation, editing, audience synchronization, budget control, reporting and attribution. Add where each action occurs: in the management tool, the native ad account or both.
Also identify whether the connection is native or connector-based, read-only or bidirectional, and which campaign, ad-set, ad and creative IDs it passes. Ask about refresh timing, deleted campaigns, historical data and the behavior when the destination is unavailable.
For CRM attribution, specify the source record, ad format, tracking prerequisites, conversion event, attribution model and intended CRM outcome. HubSpot documentation illustrates why format-level checks matter. Google Performance Max and YouTube ads are not trackable for contact attribution in HubSpot. Facebook Messenger ads and LinkedIn Message Ads, Thought Leader Ads and Document Ads are also excluded from that tracking path. Lead-form submissions can still sync even when ad-click attribution is unavailable. Tracking begins for clicks after auto-tracking is enabled and is not retroactive. See HubSpot’s ad-tracking documentation before making click-to-contact attribution a purchase requirement.
A dashboard click is not the same as an identified contact, and a contact is not the same as attributed revenue. Record platform performance, contact attribution and revenue attribution as separate stages, with the model and revenue definition attached to the final stage.
HubSpot’s campaign-analysis documentation also notes that drill-downs vary by network and subscription, and attribution reports can overlap. Do not add overlapping reports as though they were independent revenue totals. If the required output is CRM reporting, HubSpot systems consulting may be relevant when defining tracking configuration and CRM ownership.
Assess budget controls separately from reporting. Ask where pacing and edits happen, what permissions are needed, whether changes are logged and which actions remain under the native network’s control. Treat pricing as a procurement check. HubSpot advertises free ads functionality and paid editions for advanced features. AdRoll describes package-dependent services and dynamic CPM pricing for its advertising inventory. Confirm current plans, add-ons, media requirements and billing terms directly with each vendor. Keep software fees distinct from media spend.
Test three real operating workflows
1. HubSpot: test eligible ad-click-to-contact attribution
Input and owner: The paid-media owner selects a connected, supported ad account and an eligible ad format leading to a trackable destination. The HubSpot administrator confirms permissions and enables auto-tracking before the test click.
Sequence: Connect the account, enable auto-tracking, make a new test click, then identify the visitor through a form or another supported contact association. Review the relevant campaign and contact attribution view. The campaign-analysis documentation explains available analysis and network-specific drill-downs.
Validation and exception path: Save the account ID, campaign and ad IDs, click time, contact ID if associated, attribution model and report used in an internal test record. These are proposed validation fields, not a claim about a standard HubSpot export schema. If no contact appears, the paid-media owner checks format eligibility and click timing. The CRM administrator then checks identity capture and field mapping. A successful test requires the eligible click to appear in the specified report, not merely a campaign click count.
2. AdRoll: test website-retargeting readiness
Input and owner: Marketing operations installs the AdRoll Pixel and defines a controlled audience rule, such as a visit to one selected product page. The privacy owner reviews the site’s applicable consent configuration. The test does not assume that any tool guarantees compliance in every jurisdiction.
Sequence: Confirm the pixel fires, make a controlled visit, check whether the visit meets the audience rule, then review the intended retargeting campaign and package-specific reporting. AdRoll’s retargeting overview documents the pixel-based premise. Its pricing-model documentation describes dynamic CPM pricing, so do not assume a universal CPC model.
Validation and exception path: Record the audience rule, test time, consent state, campaign identifier and result in an internal test log. If the visitor is not collected, marketing operations checks pixel firing and audience conditions before launch. The privacy owner reviews consent behavior. If reporting or attribution is absent, procurement confirms that the selected package includes the required capability.
3. Hootsuite: review a paid-social campaign
Input and owner: The social advertising manager supplies the goal, audience, approved budget, dates and creative. The account administrator connects the social account and corresponding advertising account. Hootsuite’s documented core workflow covers Facebook, Instagram, X and LinkedIn, but available actions vary by network and plan.
Sequence: Configure the campaign, preview its settings and creative, publish it, then review performance and available adjustment controls. The native advertising account remains necessary. Hootsuite does not replace it.
Validation and exception path: Keep a review record of network, campaign ID, goal, approved budget, duration, publication status and review owner. If status or performance differs after a change in the native network, the social advertising manager checks the native account first. The account administrator then investigates permissions or synchronization. Success means the campaign is published with approved settings and the expected review data is available.
- Can the operator identify the source account and campaign, ad-set or ad object?
- Are the required ad format and tracking prerequisites supported?
- Can the vendor show the expected report or resulting record and name its attribution model?
- What happens when an ID is missing, data is duplicated or the source account is unavailable?
- Who investigates exceptions, and which actions still require native-account access?
Keep cross-channel reporting reliable
Before sending campaign data to a CRM or reporting store, define the row grain. The example below is an illustrative campaign-level performance aggregate for one source account, object, date, currency and extraction version. It is not an individual click, conversion event or contact-level attribution record.
{
"source_system": "illustrative_network",
"account_id": "acct_123",
"object_type": "campaign",
"object_id": "camp_456",
"metric_date": "2026-10-11",
"currency": "USD",
"spend": 250,
"impressions": 12000,
"clicks": 240,
"conversions": 8,
"attributed_revenue": 900,
"attribution_model": "recorded_model_name",
"extraction_version": "v1",
"validation_status": "pending_review"
}
This is a proposed vendor-neutral implementation contract, not a HubSpot, AdRoll, Hootsuite or StackAdapt export schema. Keep raw source records, normalized fields, calculated metrics and analyst or AI interpretations in separate layers. A generated summary must not be mistaken for a reported vendor metric.
For this aggregate grain, a proposed deduplication key is source_system + account_id + object_type + object_id + metric_date + currency + extraction_version. It identifies one campaign aggregate per source, account, object, day, currency and extraction version. If more than one extraction run can produce a different observation for the same period, add a run or source-version field rather than silently overwriting the record.
Validate required IDs, date and timezone, allowed currency, non-negative spend, attribution-model values and the declared data grain. A database-enforced unique constraint with a transactional upsert protects against duplicate records when concurrent jobs retry. A lookup followed by insert alone is not race-safe.
Contact and deal events require a different grain from campaign aggregates. Store the contact or deal ID, source event ID, event timestamp, attribution model, revenue definition and approval status separately. Do not use a campaign-and-date key to deduplicate contact-level events.
Use deterministic rules for required fields, allowed values, budget thresholds, consent conditions and duplicate prevention. AI can summarize validated anomalies or group creative themes, but it should not assign revenue, authorize spend, decide consent eligibility or create CRM records without controls and review. Send only approved, appropriately granular outputs to the destination. Marketing operations should handle data-quality exceptions; a CRM or data-platform owner should resolve schema and concurrency issues. CRM systems consulting may be relevant when defining record ownership and campaign-to-contact requirements.
Make the buying decision and verify the commercial terms
Score shortlisted products against the channel-function pairs your team marked as required, attribution fit, operator workload, integration depth, governance and total cost. Do not give a product credit for a function merely because it lists the network as an integration.
Ask whether each connection is native or connector-based, read-only or bidirectional, and whether campaign, ad-set, ad and creative IDs travel with the data. Request comparable proposals using the same users, campaign volume, networks, reporting requirements and support scope.
Confirm billing frequency, seat or spend thresholds, add-ons, onboarding costs, media minimums, trial terms and support expectations directly with each vendor. Prices and plan inclusions change, and several figures in the source comparison were not independently verified. Assign a human owner for attribution disagreements, privacy questions, data exceptions and budget changes that exceed approved limits.
Frequently asked questions
Is advertising management software different from an ad-platform dashboard?
Usually. A management product can coordinate or report across advertising systems, while a native dashboard is tied to its own network. The management product may expose only selected actions or data, and the underlying ad account may still be required.
Can advertising software track every ad through to CRM revenue?
No. Results depend on network, format, configuration, visitor identification and attribution model. Verify the path from eligible ad activity to contact and revenue rather than assuming that a connected account provides it.
Does a free software tier mean advertising is free?
No. Software access and media spend are separate costs. Creative, services, data and add-ons may also affect the total.
Is Google Ad Manager the product advertisers use to run Google campaigns?
No. Google describes Google Ad Manager as a publisher-facing ad server. Advertisers use Google Ads to create and manage Google advertising campaigns.
Can software improve advertising ROI by itself?
Software may reduce manual work or improve measurement, but it cannot guarantee returns. Targeting, creative, offer, budget, data quality and strategy still matter.
