Choose free project management software by the first limit likely to interrupt your team’s real weekly work, not by the longest feature list. A six-person team that needs shared documents and restricted client access, for example, should check member capacity, file storage, guest permissions and export behavior before comparing task views.
This guide compares ongoing $0 plans, not time-limited trials. Plan details were last checked on October 26, 2026. Vendor terms can change, so confirm the exact plan and its current limits on the linked official page before signup.
“Unlimited members” does not mean unlimited permissions, teams, content or storage. Identify the separate constraint that could stop your work, then compare it with your expected usage.
Compare constraints that can stop work
Use the vendor’s own unit and scope. A collaborator cap per Workspace is not the same as an issue cap per workspace, and a per-file ceiling is different from total storage. Also check required views, automation allowances, external access, export needs and administrative controls. A feature shown on a product page is not proof that it is included in the named free plan.
| Product and fit | Verified free-plan facts | Likely first constraint | Official source |
|---|---|---|---|
| Trello: visual boards | Up to 10 collaborators and 10 boards per Workspace, 10 MB per file, and 250 Workspace command runs per month. Total storage is listed as unlimited. | Board or collaborator count, or a file over 10 MB. | Trello pricing |
| Asana Personal: one or two people | Free forever for up to two people, with unlimited tasks and projects, List, Board and Calendar views, and a 100 MB maximum per file. | A third user or a required feature outside Personal. | Asana pricing |
| Notion: solo documentation | Unlimited blocks for an individual workspace. A workspace with more than one member has a 1,000-block limit; Free uploads are up to 5 MB per file. | Adding a member or reaching the block ceiling. | Pricing; workspace rules |
| ClickUp Free Forever: mixed work | Unlimited free-plan members, tasks and collaborative Docs; Kanban boards, sprint management, Calendar view, one Form and 60 MB storage are listed. Free guests have full create/edit access; restricted guest permissions are paid. | Storage, guest access controls or a usage-limited feature. | ClickUp pricing; time-tracking limits |
| Jira Free: Scrum and issue tracking | Up to 10 users, 2 GB storage and 150 automation steps per subscription per month. Scrum boards and related Agile reporting support a defined engineering workflow. | User count, storage or automation steps. | Jira pricing; Scrum boards |
| Linear Free: engineering teams | Unlimited members, two teams, 250 issues and 10 MB file uploads. All Free workspace members are administrators. | The issue ceiling, team count or lack of differentiated admin roles. | Pricing; issue limit |
| Wrike Free: basic coordination | The current Free plan lists task management, Board view and Table view. Interactive Gantt charts are listed under paid Team. | A requirement for interactive Gantt charts or another paid feature. | Wrike pricing |
Notion blocks include varied content such as text, database rows, images and files. When a multi-member workspace reaches 1,000 blocks, existing content remains readable and editable, but new content cannot be added until the workspace changes plan. Trello’s unlimited total storage likewise does not remove its 10 MB per-file maximum.
ClickUp’s Free Forever plan can suit mixed task and document workflows if 60 MB storage and full-permission guest access fit the work. Its time-tracking functionality is subject to current usage limits, and the official help page says availability and limits can change. Do not rely on an undated claim that the allowance is 60 or 100 uses. For teams configuring an eligible workspace, see ClickUp setup and automations.
Match the plan to the work pattern
- Simple visual boards: Trello is a plausible fit for a small content calendar or request board if the team stays within 10 collaborators and 10 boards per Workspace. A multi-client operation may hit those caps before it needs more features.
- One or two people coordinating tasks: Asana Personal offers unlimited tasks and projects with List, Board and Calendar views. If a third person must join, the two-person limit is the immediate blocker.
- Solo documentation: Notion suits a solo workspace combining notes, reference material and lightweight task tracking. If a second member will join, estimate block use before moving substantial shared documentation into the workspace.
- Mixed tasks and documents: ClickUp lists a broad mix of free-plan work types, but 60 MB storage can be tight for design files or other large assets. Free guests have full create/edit access, so test that model before sharing client material.
- Engineering work: Compare Jira’s 10-user cap, 2 GB storage and 150 monthly automation steps per subscription with Linear’s two-team and 250-issue limits. Linear’s unlimited members come with all members as administrators. Jira’s Scrum workflow includes sprint planning and reports such as burndown and velocity, but that workflow fit is not a universal ranking.
- Gantt planning: Wrike Free lists task management, Board and Table views. Its current pricing page places interactive Gantt charts under paid Team, so do not choose Wrike Free on the assumption that it includes Gantt.
- Time-to-invoice: Clockify is a dedicated time-tracking product, not a complete project-management system. Its official help content identifies a five-user Free limit and paid invoicing. Harvest documents converting tracked time and expenses into invoices, but the cited feature page does not establish its current Free seat or project limits.
For export-sensitive work, test what the export actually contains. Linear documents issue CSV exports and their fields; do not assume attachments are included. See its export documentation and compare the result with your own data.
Build a plan-limit worksheet before signup
List what the team needs now and what it expects to need in six months. Capture current and projected headcount, external collaborators, active boards or teams, projects or issues, largest file, expected storage, required views, automation volume, documentation volume, permissions and export requirements.
For every requirement, record the exact plan name, vendor wording, limit value, unit and scope, current and projected usage, official source URL and date checked. Numeric thresholds should be deterministic checks. AI can extract candidate claims or flag conflicting figures, but it should not approve an entitlement. A human reviewer confirms the exact plan, wording, scope, source and date.

This illustrative record has one row grain: one product, plan, limit type and effective-date observation. It is not a vendor data format. Keep citations in separate evidence records so multiple sources or checks are not overwritten. A proposed evidence key is vendor, product, plan, limit type and effective date. If multiple runs or citations can occur for that observation, add a run timestamp or citation identifier rather than collapsing them into one daily record. Use a database-enforced unique constraint or transactional upsert when concurrent writers are possible. A lookup followed by a separate insert is not sufficient.
Turn the comparison into an operating decision
The worksheet and test should produce more than a feature summary. They should identify the first likely blocker, the evidence supporting it, and the action if the blocker appears.
| Trigger | Optional AI job | Human validation | Action or fallback |
|---|---|---|---|
| A plan page changes or conflicting limits are found. | Extract candidate values and identify conflicting units such as users, members or collaborators. | Confirm the exact plan wording, scope, URL and effective date. | Create a new dated evidence record; do not overwrite the prior observation. |
| Projected headcount or file size exceeds a verified limit. | Map the requirement to the relevant limit field. | Check that the comparison uses the same scope, such as Workspace or per file. | Reject the plan, reduce the requirement, or compare a different plan. |
| Client access is required. | Classify the needed external role as member, guest or collaborator. | A security or data owner confirms whether access can be restricted and what content is exposed. | Use non-sensitive test data first; reject the candidate if the access model is unacceptable. |
| Export is part of the system-of-record requirement. | Summarize documented export fields and flag possible omissions. | Export representative data and inspect fields, relationships and attachments. | Document the migration gap or choose a candidate that passes the export test. |
These are proposed editorial controls, not documented vendor automations. Do not describe them as native modules, API responses or templates. The destination is a dated comparison worksheet or evidence register, and the exception owner is the operations or systems owner. Route privacy, security and contractual questions to the responsible reviewer.
Run a two-week test on real work
Once a candidate passes the worksheet, create one representative project with default settings. Invite actual users, use typical files and views, run recurring work, test external permissions and export the result. For client work, do not upload confidential material until the responsible owner approves the access model.
- Actual users completed recurring work during the test.
- Required views and representative files worked within verified limits.
- External roles and restrictions were tested before real client material was shared.
- Exports were checked for expected fields and attachment behavior.
- The first blocking limit, if any, and its observed point are recorded.
- A named decision owner and review date are on the record.
Keep the tool if recurring work passes and no critical limit blocks the next planned phase. If an existing ClickUp workspace needs a configuration review, a ClickUp audit is an optional service resource. It does not change vendor plan limits.
Keep plan evidence dated and auditable
Store one record per vendor, product, plan, limit type and effective date rather than one undated field called “free limits.” Keep the exact claim, normalized value and unit, scope, source URL, checked timestamp, reviewer and verification status. Preserve conflicting citations as separate records, then mark which wording has been verified for the current comparison.
When a vendor changes plan names or terms, recheck affected recommendations. A product may retain a feature while moving it between plans, and an “unlimited” allowance may still coexist with file, content, team or permission restrictions.
Choose by the blocker you can accept
For simple visual boards, start with Trello if its Workspace caps fit. For one- or two-person task coordination, consider Asana Personal. For solo documentation, check whether Notion’s multi-member block limit matters to your plans. Consider ClickUp for mixed work only if its storage and guest permissions are acceptable. Engineering teams should compare Jira’s user and automation limits with Linear’s issue, team and administrator constraints. If Gantt charts are essential, verify Wrike’s paid-plan requirement. For time-to-invoice, distinguish time tracking from project management and confirm the billing product’s current plan limits.
The sound choice is the simplest tool whose verified limits support the work you expect to do. Use the worksheet to rule out hard mismatches, then let the real-project test reveal friction that a pricing table cannot.
