That is a fit rule, not a universal ranking. Before comparing templates, AI features, or automation depth, confirm where the customer fact lives, whether the record includes a valid email permission, and whether the selected platform can use that event without a fragile spreadsheet handoff. HVAC email marketing includes operational communication about maintenance, memberships, service follow-up, and replacement as well as promotions.

For current prices, use live vendor plan pages rather than an older comparison table. Mailchimp and ActiveCampaign pricing depends on current tiers, contacts, channels, and configuration. AWeber documents Lite at $15 monthly or $12.50 per month when billed annually for the 500-subscriber tier. MailerLite currently documents a Free plan for up to 250 subscribers and 2,500 monthly emails. Recheck all commercial terms, billing bases, limits, seats, onboarding, and add-ons before purchase.

Check the integration contract before you buy

A contact sync is not the same as an operational integration. Ask the vendor or implementation partner to demonstrate the exact source event, fields transferred, sync direction, timing, duplicate behavior, unsubscribe propagation, and plan requirements. Ask whether a customer update in one system can overwrite a value in another, and document which system wins when records conflict.

Use a field checklist for the campaign in question: customer identity, email permission, service area, job or estimate event, event timestamp, source record identifier, and any equipment or membership facts required for eligibility. Designate the authoritative system for contact identity, consent, job status, equipment or membership facts, and campaign activity before enabling a sync.

For Jobber and Mailchimp, the documented scope is client-list synchronization. Do not build an estimate follow-up that depends on job or equipment fields until the connected account has shown those fields. For HubSpot, marketplace apps, middleware, or custom connections may be possible, but the HubSpot marketplace is a directory, not proof of a particular connector’s fields or directionality.

The useful integration test

Use one representative customer and one real event in a low-risk test. Record every field that arrives, every field that is absent, the time required for synchronization, the unsubscribe result, and the system that remains authoritative after a deliberate conflict.

When an external process can handle the same event concurrently, do not rely on a lookup followed by an insert. Enforce a database uniqueness constraint or use a transactional upsert on the event key. That is an implementation requirement for an external workflow, not a claim that a named vendor provides race-safe behavior by default.

Design the campaign around a real HVAC event

For this proposed design, the uniqueness key is customer_id + campaign_id + source_event_id + workflow_step. Enforce it in the database when multiple workers can process events. A daily count such as appointments attributed to a campaign is a report-level aggregate and must not be used as the identifier for an individual enrollment, send, booking, or revenue event.

Compare total cost and limits at your actual contact volume

Compare like with like: the same contact count, billing term, monthly send need, user seats, and required integration. Record the plan name, verification date, billing basis, contact or subscriber tier, sending allowance, onboarding, and add-ons. Keep promotional rates separate from standard prices and forecast at your current list size and plausible future tiers such as 1,000, 2,500, and 5,000 contacts.

HubSpot distinguishes marketing contacts from non-marketing CRM contacts. Paid Marketing Hub send limits depend on the selected marketing-contact tier and plan. The current pricing page states five times the contact tier for Starter, ten times for Professional, and twenty times for Enterprise, subject to the plan’s conditions. For Housecall Pro, verify Campaigns eligibility and message limits for the specific plan. Its documentation describes daily and monthly caps, queued messages, campaign-flow delays, and SMS opt-out handling. For Mailchimp and ActiveCampaign, use live pricing pages because contacts, sends, channels, and configuration affect cost. AWeber and MailerLite also use subscriber-based plan rules, so verify current tiers before comparing them.

  • Do plan limits and total costs fit current and projected contact volumes?
  • Can the business report bookings and completed jobs separately from opens and clicks?

Choose one operational outcome for each campaign: a booked maintenance visit, completed service, renewed membership, or replacement estimate. Define the enrollment event, conversion event, attribution method and window, revenue basis, and treatment of cancellations or duplicate bookings before launch.

An email send, delivery, open, click, booking, completed job, and recognized revenue are separate events. Keep their source identifiers and event timestamps. Aggregate only after deduplication and attribution rules have been applied. Opens and clicks are engagement signals, not proof of booked work.

If an external process writes a derived value back to a CRM, validate identity, source event, timestamp, field type, allowed values, permission status, and rule version first. Send missing or conflicting records to a human exception queue rather than updating the customer profile.

Choose based on a tested workflow

Evaluate ServiceTitan Marketing Pro first when its operational records already contain the audience facts you need and your account supports the required audiences and attribution. Evaluate Housecall Pro Campaigns when its documented job or estimate triggers match your workflow and the plan supports the required features. Use Jobber plus Mailchimp for the documented client-list pattern, not as a presumed job-data or revenue integration.

Consider HubSpot when you need a broader CRM-centered system, forms, lifecycle automation, and cross-channel reporting, while recognizing that connector verification and higher-tier costs can add implementation work. Standalone email platforms can fit when the business has a dependable way to maintain audience data and consent.

The platform is ready when one low-risk event has been tested from source record through recipient selection, suppression, send, and outcome reporting. Assign a named owner for exceptions, enforce the enrollment key where external workers are involved, and measure booked or completed work separately from engagement. A polished first email is useful only after the workflow behind it is dependable.
