Understanding assignees in ClickUp

How to assign a task in ClickUp

You can assign a task directly from the task view or from most views that display task columns. The basic steps are the same across the platform.

  1. Open the task you want to assign.
  2. In the header of the task, locate the Assignees area. This may show a profile avatar, initials, or a plus icon.
  3. Click the Assignees field to open the assignee picker.
  4. Use the search bar or scroll to find the person or Team you want to assign.
  5. Click the user or Team name to select them as an assignee.
  6. Close the menu. The selected people now appear as assignees on the task.

If your Workspace allows multiple assignees, you can repeat these steps to add more people to the same task.

Assign a task from a view in ClickUp

You can also assign tasks without opening each task individually.

  1. Open any List, Board, or other view where the Assignees column or field is visible.
  2. Find the task you want to update.
  3. Click the current assignee, avatar, or plus icon in the Assignees column.
  4. Select the new assignee or add additional assignees from the picker.
  5. Click away to save your selection.

This approach is useful when you are assigning many tasks in ClickUp at once, such as during sprint planning or workload balancing.

Assign tasks to multiple people in ClickUp

Many teams use shared responsibility for certain work items. If your Workspace settings allow it, you can assign a single task to multiple people at the same time.

To add more than one assignee:

  1. Open the task or locate it in a view.
  2. Click the Assignees field.
  3. Select each person or Team you want to add as an assignee.
  4. Confirm your selections. All chosen people and Teams will now appear on the task.

Every assignee will see the task in their personal views and can track it as part of their workload in ClickUp.

Assign tasks to Teams and guests in ClickUp

Depending on your plan and permissions, you can assign tasks to Teams and guests so shared work remains clearly owned.

Assign a task to a Team

  1. Open the task in ClickUp.
  2. Click the Assignees field.
  3. Search for the Team name or find it in the list.
  4. Click the Team name to assign the task to the entire group.

When you assign a task to a Team, all Team members can see and work on that item. This is helpful for support queues, help desks, or any shared responsibility workflows.

Assign a task to a guest

Guests can also be made responsible for tasks when your Workspace shares specific items with them.

  1. Share the task, List, or Folder with a guest so they have access.
  2. Open the task and click the Assignees field.
  3. Search for the guest’s name or email in the picker.
  4. Select the guest to assign the task.

This allows clients, contractors, or external collaborators to own actions while you track their progress inside ClickUp.

Manage subtask assignees in ClickUp

Subtasks act like separate tasks, each with its own assignees, due dates, and statuses. You can assign subtasks individually or manage them in bulk.

Assign a single subtask

  1. Open the parent task.
  2. Scroll to the Subtasks section.
  3. Find the subtask you want to assign and click its name to open it, or use the assignee field directly in the subtask row if available.
  4. Click the Assignees field.
  5. Select the person or Team you want to assign.

Bulk assign multiple subtasks

In some views, you can select several subtasks and assign them at once.

  1. Open the List, Board, or other view that shows the subtasks.
  2. Select the checkboxes next to the subtasks you want to update.
  3. Use the bulk actions toolbar to choose Assign or update the Assignees field.
  4. Select one or more people or Teams to assign.

Reassign and remove assignees in ClickUp

Ownership often changes as work progresses. You can reassign tasks or remove assignees at any time.

Reassign a task

  1. Open the task.

  3. Deselect the current assignee if needed.

  5. Close the picker to save changes.

The task will move out of the previous assignee’s personal views and into the new owner’s views, depending on how your ClickUp Workspace is configured.

Remove an assignee

  1. Open the task or find it in a view.
  2. Click the Assignees field.
  3. Click the checkmark, avatar, or selection next to the person you want to remove so they are no longer selected.
  4. Confirm your changes by closing the picker.

Removing an assignee is useful when a task is complete for that person, or responsibility needs to be fully transferred.

Clear assignment rules keep your Workspace organized and make reporting more accurate.

  • Define ownership rules: Decide when to use single vs. multiple assignees in ClickUp so everyone understands who is truly accountable.
