CRM for Gyms: Compare 5 Platforms by Workflow Fit

The right CRM for a gym depends on the work that is failing today. If the main bottleneck is lead capture, sales follow-up, marketing automation, or lifecycle reporting, start with a CRM. If it is class scheduling, booking, check-in, attendance, membership billing, or member self-service, start with fitness-management software. If both matter, plan an integrated architecture only after verifying data access, ownership, costs, and exception handling.

A studio trying to fill trial classes and collect payments will usually shortlist an operations platform first. A multi-location gym trying to route web leads and measure follow-up may start with a CRM. Neither choice makes the other system unnecessary by default.

This comparison covers HubSpot, TeamUp, Mindbody, monday CRM, and Exercise.com. They are not interchangeable gym CRMs. The useful question is which platform owns each critical workflow, and whether the remaining work can be handled through a verified integration or a separate system.

Short answer: choose by your operational bottleneck

CRM-first

Lead and lifecycle work

Prioritize contact records, sales pipelines, ownership, follow-up, marketing communications, and lifecycle reporting. Confirm how scheduling, attendance, payments, and member services will be handled.

Operations-first

Member and class operations

Prioritize bookings, attendance, memberships, billing, payments, check-in, and member services. Confirm whether the platform’s lead tools meet your sales and marketing requirements.

If both sides are material, name the system of record for every important field before buying. For example, the gym-management platform might own membership status and attendance while the CRM owns lead assignment and sales follow-up. This is a selection framework, not a claim that one vendor is best for every gym.

What a gym CRM does, and what it may not do

A customer relationship management system, or CRM, is the relationship and sales layer for prospects and members. It typically organizes contacts, communications, sales pipelines, ownership, activities, and lifecycle reporting. Gym-management software focuses on fitness-specific operations such as classes, bookings, attendance, check-in, memberships, payments, and member-facing services.

These categories overlap, but a general CRM should not be assumed to provide a complete gym operating system. HubSpot’s CRM overview describes contact, company, deal, pipeline, activity, reporting, and data-management capabilities. It does not establish that the base CRM includes complete class scheduling, gym check-in, attendance management, or membership billing.

For every must-have capability, use one of four labels: native, available through a verified integration, custom-built, or not confirmed. An API listing, webhook feature, or marketplace search is evidence of a possible integration mechanism, not proof that a ready-made connector supports your records, history, locations, and business rules.

Compare five platforms by fit and pricing model

The pricing below is a dated snapshot researched October 11, 2026. Prices, limits, regions, plans, and add-ons can change. Confirm the live vendor terms before signing.

Platform Strongest fit Operational distinction Public pricing position
HubSpot Lead pipelines, sales coordination, marketing, and lifecycle communications General CRM and marketing or sales platform. Do not assume the base CRM supplies gym scheduling, attendance, check-in, or membership billing. CRM page shows Starter from $15 per seat/month, Professional from $50, and Enterprise from $75. Free-plan limits apply. Other hubs have separate pricing.
TeamUp Studios and gyms prioritizing member and class operations Public materials describe bookings, memberships, payments, reports, customer operations, lead management, integrations, API access, and webhook destinations. Exact sync scope requires validation. Active-customer pricing. The page shows $119/month for 0 to 100 customers and says pricing adjusts with active-customer usage.
Mindbody Fitness and wellness businesses needing booking and operating tools Plan-dependent capabilities include booking, payments, reporting, lead management, resource management, messaging, and other business tools. A staff app is distinct from a branded consumer app. U.S. pricing starts at $79/month per location. Final pricing is sales-led and depends on plan, location, options, payment activity, and services.
monday CRM Configurable sales pipelines and team collaboration Seat-based CRM with documented AI features on eligible plans. It is not presented as gym-management software. Three-user minimum. The pricing page displays Standard at $12 per seat/month billed annually. Confirm the live selector for current plan and billing details.
Exercise.com Fitness businesses focused on workout delivery and branded services Fitness-business platform featuring workout delivery, branded apps, progress tracking, notifications, memberships, and client-lifecycle capabilities. Custom pricing. Request a quote with modules, apps, implementation, and custom development itemized.

How to interpret the vendor prices

HubSpot presents different pricing contexts on its CRM page and its main pricing page. The CRM page lists CRM editions, while the main page lists product-family pricing. The main page currently shows Marketing Hub Starter from $7 per seat/month billed annually or $20 monthly, with higher editions and onboarding charges that can materially change the total. Marketing contacts, seats, credits, optional services, and billing terms also matter.

HubSpot’s CRM pricing page describes account-level free-tool limits, including up to two users and 1,000 contacts in the reviewed presentation. Do not treat “free CRM” as unlimited. TeamUp prices by active-customer usage. Mindbody’s advertised starting point is not a complete public price sheet. monday CRM changes with seats and billing terms. Exercise.com asks buyers to request a quote.

Compare full cost at your intended scale: active customers, members, staff seats, locations, marketing contacts, messages, payment activity, branded apps, onboarding, migration, integrations, and ongoing maintenance. A low entry price is not useful if the required workflow sits in an add-on or a second system.

Choose the operating model before automating it

Map the path from inquiry to trial, enrollment, booking, check-in, billing, support, and renewal or cancellation. For each stage, decide which system owns the authoritative record and who resolves exceptions. CRM systems consulting can help teams define those requirements before configuration.

01Map the workflowList systems, handoffs, fields, and decisions from inquiry through cancellation. The operations lead records the current path and its known failures.
02Assign record ownershipName one authoritative system for membership status, attendance, lead owner, consent, payment status, and location.
03Verify access and scopeAsk which records, history, locations, event behaviors, permissions, exports, rate limits, and timestamps are supported on the proposed plan.
04Test identity and failure behaviorUse sample records to test stable IDs, duplicate events, changed emails, deletions, merges, time zones, retries, and failed updates.
05Name an exception ownerAssign a person or team to review rejected records, consent conflicts, status conflicts, and permanent sync failures. Keep a manual fallback for critical work.

TeamUp’s public API help collection confirms a Business API process and webhook destinations at a high level. It does not establish exact endpoints, payloads, event guarantees, rate limits, or a ready-made HubSpot connector. For Mindbody, inspect current marketplace or vendor documentation for supported records, sync direction, plan requirements, and conflict handling before relying on a connection. Zapier automation services may be relevant only after connector availability and data requirements have been verified.

Three practical automation patterns for gym teams

The following are proposed implementation designs. They use documented capabilities where available, but the complete sequences, field contracts, mappings, and review rules must be validated in the buyer’s accounts.

Trigger and input Automation or AI role Validation and decision gate Destination and fallback
Lead intake
Form or supported CRM event with source event ID, object ID, location, interest, consent, and timestamp.
Preserve the event, optionally suggest an approved inquiry category, then create or update a lead and assign follow-up. Verify authenticity where applicable. Require IDs and a known location. Validate consent before marketing. Keep AI suggestions separate from eligibility and consent fields. CRM lead or review task. Marketing operations or the location lead resolves malformed payloads, unknown locations, consent conflicts, and low-confidence suggestions.
Attendance review
Check-in events plus member status, location, freeze, cancellation, support, and consent data.
Aggregate attendance over a defined rolling window. Create a review task only when deterministic criteria are met. One missed class is not a churn conclusion. Suppress frozen or cancelled memberships, active support cases, medical holds where recorded, and records without applicable consent. Quarantine missing or conflicting member or location data. CRM task or approved re-engagement workflow. Membership operations reviews exceptions before outreach and records the rule version used.
Inquiry triage
New message, form response, or staff note with source record ID and timestamp.
AI may suggest intent, urgency, a summary, and next step from an approved label list. It must not change authoritative status. Reject labels outside the vocabulary. Require evidence for classifications. Route low-confidence, billing, cancellation, injury, health, or legal-related content to a person. Staff-owned CRM queue. Membership or front-desk staff approve any billing, membership, consent, or cancellation change.

HubSpot documents webhook mechanisms that can deliver event data to a configured HTTPS endpoint, subject to the product and account configuration. A receiver can validate the request, persist the raw event, process it asynchronously, and use an idempotent write before creating or updating a destination record. Follow the webhook documentation for the mechanism in use. Signature-validation behavior described in HubSpot’s implementation example applies to that documented pattern and should not be generalized to unrelated connectors.

monday CRM documents AI actions including information extraction, sentiment detection, summaries, translation, label assignment, and custom actions on eligible plans when AI is enabled by an administrator. The gym still defines the label vocabulary, confidence threshold, evidence requirement, and approval path. A message about pausing a membership during injury recovery should create a human review task, not an automated membership or health-status change.

Design reliable data flow: identity, grain, and safe updates

Define what one row represents before building retention reporting. An individual check-in is an event. A member’s attendance over a date range is an aggregate. An AI suggestion is an observation about a specific source record and model run. Keep these records separate so a class visit cannot be mistaken for a member-period summary or an AI decision.

Decision point

One missed class is an event, not a churn conclusion. Calculate a scoped rolling-period total, preserve the source events and rule version, and use different keys for event rows, member-period summaries, and AI observations.

For an event, use a uniqueness key such as source system, source account, and source event ID. For an aggregate, use account, member, location, period start, period end, and metric version. For an AI observation, include the source record, model, prompt version, and input hash where repeated runs must remain distinguishable. Do not deduplicate on email alone because members can change addresses, share household addresses, or appear across locations.

A lookup followed by create is not safe when concurrent workers process the same event. Use a database-enforced unique constraint with an atomic upsert or transactional uniqueness check. The following is a proposed design, not a vendor schema:

{
  "checkin_event": {
    "source_system": "gym_operations",
    "source_account_id": "account_illustrative_01",
    "source_event_id": "event_illustrative_204",
    "member_id": "member_illustrative_501",
    "location_id": "north_studio",
    "occurred_at": "2026-10-10T09:15:00Z",
    "processing_status": "accepted"
  },
  "member_period_summary": {
    "source_account_id": "account_illustrative_01",
    "member_id": "member_illustrative_501",
    "location_id": "north_studio",
    "period_start": "2026-09-27",
    "period_end": "2026-10-11",
    "checkin_count": 1,
    "rule_version": "attendance-review-v2",
    "calculated_at": "2026-10-11T15:00:00Z"
  },
  "ai_observation": {
    "source_record_id": "inquiry_illustrative_300",
    "observation_id": "observation_illustrative_07",
    "model_name": "illustrative_model",
    "prompt_version": "inquiry-triage-v1",
    "input_hash": "hash_illustrative_01",
    "approval_status": "pending"
  }
}

HubSpot webhook handling should include signature validation where applicable, durable event logging, asynchronous processing, retries with backoff, and a permanent-failure queue. Separate transport acknowledgment from business completion: accepting an event means it was durably received, not that every downstream write succeeded. Use current date-versioned API guidance for new HubSpot work rather than assuming older examples are preferred. See the developer resources.

Measure fit and implementation success

Choose measures tied to the workflow being changed. For lead handling, track response time, follow-up completion, and trial-to-member conversion. For operations, track attendance completeness, booking completion, and billing exception resolution. For retention, compare cohorts using a defined member status and time window rather than a vague at-risk count.

Before comparing periods, document each metric’s numerator, denominator, date window, location scope, and source system. Set a baseline and target before launch, assign a metric owner, and review data completeness and exception volume alongside business outcomes. A rise in recorded attendance may reflect better data capture rather than a change in member behavior.

Calculate full cost alongside those measures: subscription and seats, active-customer tiers, locations, contacts, onboarding, messages, payment fees, branded apps, implementation, migration, and integration maintenance. Vendor case studies can illustrate possible use cases, but they are not independent benchmarks or promises of what another gym will achieve.

Final selection checklist

Shortlist by the job the system must do. TeamUp or Mindbody may fit when fitness operations are primary. HubSpot or monday CRM may fit when sales and marketing coordination are primary. Exercise.com may fit when workout delivery and branded fitness services are central. Combined needs require a tested ownership and integration plan, not an assumption that two product pages equal a working stack.

Verify before signing or migrating
  • Confirm every required capability against the exact plan, region, locations, seats, and usage limits.
  • Test a realistic lead, booking, check-in, payment exception, cancellation, and multi-location path.
  • Verify exports, stable external IDs, historical data, consent fields, permissions, timestamps, and deletion behavior.
  • Ask how duplicate events, changed emails, freezes, cancellations, missing locations, retries, and failed syncs are handled.
  • Itemize active customers, seats, contacts, messages, payments, apps, onboarding, migration, custom work, and integration maintenance.
  • Name the system of record, integration owner, metric owner, exception owner, and manual fallback for each critical process.

Proceed when the vendor demonstration matches the gym’s real data path and the team can explain who owns every record and exception. For help planning HubSpot’s role in a broader stack, see HubSpot systems consulting.
