Choose a marketing reporting tool for the reporting job and controls your agency needs, not for the longest integration list. For branded scheduled reports and approval options, shortlist AgencyAnalytics. For transformations, source blending, BigQuery connectivity and review-controlled delivery, evaluate Whatagraph. For governed metrics, goals and alerts, consider Databox. DashThis, Two Minute Reports and Raven Tools fit different combinations of white-labeling, prompt-assisted dashboards, SEO and delivery requirements.
This guide focuses on the operating decisions behind automation: defining a KPI, checking source data, configuring a report, reviewing exceptions and recording delivery. The examples are proposed agency controls, not vendor templates. A product may schedule a report or provide an in-product review step, but your team still decides what freshness means, who resolves an exception and whether a client should receive the result.
The product recommendations below are editorial-fit judgments based on current vendor descriptions, not rankings, performance tests or measured time savings. Vendor pages establish advertised capabilities, not guaranteed accuracy, uptime or savings. Confirm connectors, plan limits, permissions, refresh behavior and delivery options in current documentation or a trial. The older HubSpot roundup is historical context, not proof that every vendor or feature it lists remains current.
How should an agency choose a marketing reporting tool?
Start with one representative client report and its controls. Before opening trials, document:
- Number of clients, source accounts, brands and currencies.
- Required outputs, such as dashboards, PDFs, emails or live links.
- Metric definitions, comparison periods, attribution windows and time zones.
- Who reviews client-facing reports and who owns data or commentary exceptions.
- How agency staff and clients should access reports without cross-client exposure.
- Whether a warehouse such as BigQuery is required, and who owns its schema and refreshes.
Test the same client in each candidate. Include multiple sources, at least one ratio metric, a comparison period and a real approval or exception case. Reject a product if a required connector, approval control or delivery format cannot be confirmed in current documentation or a trial. Keep advertised capability separate from capability your team has actually tested.
Define the reporting contract before automating
A metric contract is a proposed agency record describing what a KPI means and how it is calculated. For each metric, record its business definition, numerator, denominator, source platform and account, attribution window, currency, time zone, aggregation period, permitted dimensions, accountable owner and last verification date. Databox advertises metric definitions and governance features, but this complete contract is an agency operating model, not a vendor-provided schema.
{
"metric_id": "paid_media_roas",
"business_definition": "Attributed revenue divided by ad spend",
"numerator": "attributed_revenue",
"denominator": "ad_spend",
"source_account_id": "ads_account_17",
"attribution_window": "agency-approved window",
"currency": "USD",
"timezone": "America/Chicago",
"aggregation_period": "month",
"allowed_dimensions": ["campaign"],
"owner": "reporting_analyst",
"last_verified_at": "2026-10-01"
}
For a portfolio ROAS, sum comparable revenue and spend first, then divide. If one client has $20,000 revenue on $10,000 spend and another has $5,000 revenue on $1,000 spend, portfolio ROAS is $25,000 divided by $11,000, or about 2.27x. It is not the arithmetic average of the client ROAS values. Recompute CPA, CTR and conversion rate from additive values at the requested scope as well.
Automate a metric only after its definition, source, reporting period, aggregation rule and accountable owner are explicit.
Compare current tools by operating fit
Use one client report and one checklist in every trial: sources, metric setup, period selection, permissions, branding, review, output, refresh behavior and failure visibility. The following descriptions summarize advertised fit, not equivalent product coverage.
| Agency need | Shortlist | Advertised fit | Verify before purchase |
|---|---|---|---|
| Branded scheduled client reports | AgencyAnalytics | White-labeled dashboards and reports, scheduled reporting, goals and 85+ advertised integrations. | Custom domains and some white-label or approval features depend on plan. |
| Transformations, blending or warehouse reporting | Whatagraph | Reporting, transformations, source blending, BigQuery source and destination capabilities, and documented report review. | Confirm sources, permissions and schema setup. BigQuery connectivity does not configure arbitrary tables automatically. |
| Governed metrics and goal monitoring | Databox | Dashboards, goals, alerts, metric definitions and advertised governance across a broad tool set. | Check every required connector in the current catalog. |
| White-labeled dashboards and flexible delivery | DashThis | Custom URLs, templates, automated email, PDF attachments and live report links. | Confirm account-specific branding and delivery options. Public examples are not established as downloadable standalone templates. |
| Prompt-assisted dashboard drafts | Two Minute Reports | Advertised AI dashboard generation, customization, white labeling, goals and scheduled delivery. | Test metric identity, filters, dates, aggregation and output before approval. |
| SEO audits and reporting together | Raven Tools | Marketing reports alongside advertised SEO audits, backlink data and competitor research. | Confirm specific connectors and current feature details. Official pages use inconsistent connector counts. |
Integration counts are not a like-for-like measure of coverage. A high count does not establish that a particular account, field, metric or delivery method is supported. Check plan conditions and permissions during the pilot.
Build a scheduled reporting workflow with a release gate
Scheduling automates report creation and delivery steps. It does not by itself prove that a source refreshed, a KPI was interpreted correctly or a recipient should receive the report. Whatagraph documents schedules, recipients, time zones, review stages and issue handling. AgencyAnalytics documents scheduled reports and approval before sending on select plans. The broader validation process below is an agency-designed control.
A proposed run-log row should identify one generation for one client, report definition, period, source snapshot and run. It is not a standard vendor output:
{
"client_id": "client_042",
"report_id": "monthly_paid_media",
"period_start": "2026-09-01",
"period_end": "2026-09-30",
"source_snapshot_id": "snapshot_2026_10_01",
"run_id": "run_0081",
"status": "ready_for_review",
"approved_by": null,
"delivered_at": null
}
The intended unique grain is the combination of client_id, report_id, period boundaries, source_snapshot_id and run_id. A source observation has a different grain, such as one account-campaign-day row. Keep report runs, source observations, citations and portfolio aggregates in separate records. If concurrent jobs can create the same logical run, enforce the key in the database and use a transactional upsert. A lookup followed by insert is not race-safe.
Scheduled delivery is not proof of CRM write-back. The reviewed documentation does not establish a universal direct API-to-CRM workflow. For separately scoped automation design and implementation support, confirm the named product, connector and workflow independently. For CRM architecture separate from report delivery, see CRM systems consulting.
Use BigQuery or AI-assisted reporting within defined boundaries
Use a warehouse when the agency needs a controlled reporting table or blended data and can assign an owner to its schema and refreshes. Whatagraph documents connecting BigQuery tables as a reporting source and describes destination functionality as well. Its source instructions require a usable date column. Numeric columns are treated as metrics unless named id or ending in _id; other columns are treated as dimensions. Widgets still require manual configuration.
Establish table grain before building a warehouse-backed report. A campaign-day table is not interchangeable with a client-month table. Check duplicate keys, currency, time zone, attribution window and late-arriving conversions. A table with one row per client, ad account, campaign and date can support monthly ROAS by summing revenue and spend for the period, then dividing the totals. Do not average daily or campaign-level ROAS values.
Two Minute Reports advertises dashboard generation from plain-language prompts and customization. Treat the result as a draft. Specify metrics, dimensions, currency and dates, then inspect the actual filters, aggregation, units, missing data and comparison logic. Rules should test completeness, numeric types, denominators, date periods and duplicate keys. AI can draft a summary or suggest questions after those checks pass, while a person resolves anomalies and client-sensitive interpretation.
A connected table or generated chart can still be semantically wrong. If spend is $11,000 and revenue is $25,000, calculate ROAS as total revenue divided by total spend, about 2.27x. Do not average the underlying ratios or let generated commentary redefine the KPI.
Pilot the workflow and measure whether it is worth keeping
Choose one client with multiple data sources, a ratio KPI, a comparison period and a real approval or exception case. Record baseline and pilot effort separately for data collection, report assembly, quality review, client commentary and corrections. Work moved to another system remains work, not eliminated effort.
- Required sources are present, fresh and mapped to the intended client accounts.
- Metric definitions, currency, time zone, attribution window and comparison period are recorded.
- Ratio metrics are recomputed from additive values at the report scope.
- Recipient access, branding, approval status and delivery format match the client agreement.
- Report runs, source observations and portfolio aggregates use separate grains and enforced keys.
- AI-generated dashboards or commentary have passed deterministic checks and human review.
Measure on-time delivery rate, reports held for review, source failures detected before delivery, correction rate, manual minutes per report and client-specific permission errors. The reporting lead should own the scorecard; the client-service lead should approve client-facing release criteria.
The historical HubSpot article states, without presenting supporting methodology on the page, that agencies may spend roughly four or five hours per client each month on digital reporting. Its illustrative assumptions produce different arithmetic from the article’s stated saving: 20 clients multiplied by four hours and $75 per hour equals $6,000 of labor time before software costs, review time or remaining work. That is a hypothetical calculation, not a measured saving. Set your own baseline.
Keep the tool only if the pilot lowers measured manual work without increasing correction rates, access mistakes or late deliveries. A reporting product can make a workflow repeatable, but only the agency’s definitions, checks, ownership and release decisions make the resulting report fit for publication.
