RFQ Templates for Word: What to Include and When to Use a Workflow Tool

A Word RFQ template is useful for a small, controlled sourcing event when it tells suppliers exactly what to price and gives every respondent the same fields. For a request such as 120 units delivered by a fixed date, specify the item, quantity, unit, currency, delivery terms, deadline, and separate fields for unit price, tax, shipping, discounts, and total.

This guide shows what to put in an RFQ, how to distinguish an RFQ from a quotation, and how to track responses without losing the link between a bid and the version issued. It also explains where Word stops being practical and what a ClickUp template can organize without assuming it provides a complete procurement system.

The central operating rule is simple: preserve the issued RFQ, each supplier response, the comparison basis, and the human decision record as separate pieces of evidence.

What should a Word RFQ template include?

An RFQ, or request for quotation, is a buyer-issued request for suppliers to price defined goods or services. Make the requirements unambiguous before polishing the layout. Separate buyer-issued instructions from vendor-completed response fields, mark required answers, and establish one currency and unit convention.

  • Request identity: RFQ ID, version, issue date, buyer organization and contact, plus the invited vendor’s name and contact.
  • Requirements: item or service description, specifications or quality standard, quantity, unit of measure, packaging requirements where relevant, and references to drawings or attachments.
  • Delivery and commercial terms: required delivery date or schedule, delivery location, payment terms, warranty expectations, and stated assumptions.
  • Comparable pricing: separate fields for unit price, discount, tax, shipping, other charges, and total. State whether prices include or exclude tax.
  • Response instructions: submission method, question contact, response deadline and time zone, required file format, and quote-validity period.

For a multi-item purchase, use a line-item response table or a separate schedule. Asking suppliers to put prices into free-form prose makes normalization harder and increases the chance that tax, shipping, or units are omitted.

Before release

Check that the RFQ ID and deadline are non-empty, quantities are positive numbers, the currency is stated, and unit price, tax, shipping, and total have distinct fields. A simple form with clear assumptions is more useful than a polished form with ambiguous requirements.

ProjectManager’s RFQ template page currently presents a Word or Excel starting point with fields for vendor details, quote information, quantities, prices, taxes, shipping, and terms. Check current download access and licensing before adopting it. It is a document starting point, not a live bid-management workflow.

Choose the right kind of template: RFQ or quotation?

Editable document formats do not determine the direction of a transaction. An RFQ is issued by a buyer asking suppliers to price the buyer’s requirements. A quotation is usually issued by a seller presenting prices and terms to a customer. An RFP, or request for proposal, generally asks for a detailed solution, methodology, or approach rather than primarily comparable pricing.

Decision point

If suppliers are pricing your stated requirements, use a buyer-side RFQ. If you are presenting your prices to a customer, use a seller-side quotation. If the buyer needs competing approaches or methods, consider an RFP instead.

Example Best use Evidence and adoption check
ProjectManager RFQ General buyer-side goods or services request Word or Excel landing page with documented quote fields. Check current access and license.
Office Templates Online construction RFQ Construction quote request in Word Landing page describes a downloadable file with sample data and customizable sections. The file was not inspected, and the page does not establish a reverse-auction function.
Template.net request-for-quotation catalog Browse buyer-side RFQ designs Verify the selected result’s direction, format, account needs, license, and download terms.
Template.net cleaning-services quotation catalog Browse cleaning-service quotation designs Confirm that the selected design requests a supplier quote rather than presenting one.
Price quotation or labour contractor quotation Seller presenting an itemized price to a customer These are seller-side quotations, not buyer RFQs.

Template availability, account requirements, licensing, and file formats can change. Treat catalogs as places to browse, then inspect the specific file before sending it to vendors.

Run a document-based RFQ without losing control of responses

Keep the solicitation, each vendor response, and each response line item at separate data grains. One RFQ record represents one RFQ version. One response record represents one vendor’s submission to that version. One line-item record represents one priced item within that response.

A practical proposed response key is RFQ_ID + RFQ_VERSION + VENDOR_ID. If revisions are allowed, add RESPONSE_VERSION or a SUPERSEDES_RESPONSE_ID. Do not use a vendor name, RFQ title, or date alone as a unique key. Keep the original attachment reference and submission timestamp with every response.

01Issue one controlled versionThe procurement owner assigns the RFQ ID and version, finalizes the requirements, sends the same file and deadline to each invited supplier, and saves the issued document with the recipient record.
02Register each responseRecord vendor ID, RFQ version, received time, response state, and original attachment. Keep received, late, withdrawn, revised, and incomplete submissions distinct.
03Validate before comparingA reviewer checks required fields, positive quantities, currency, delivery information, tax, shipping, and mandatory requirements. Missing values become exceptions, not zeroes.
04Normalize and compareCompare evaluated cost and terms on the same basis. Record currency conversion assumptions, delivery, discounts, tax, shipping, and exceptions to the requested specification.
05Approve and retain evidenceA designated approver records the selected supplier, decision rationale, date, and RFQ version. Retain original bids and the comparison basis. Lowest quoted price alone is not an award rule.

For a small event, the Word file can be the solicitation and a controlled spreadsheet or register can be the response record. If concurrent processes can create records, use a database-enforced unique constraint or transactional upsert. A lookup followed by a separate insert is not sufficient protection against duplicate records.

Use a practical comparison design

The following is an illustrative operating pattern, not a documented feature set of any linked template. It shows where a rule, optional AI assistance, validation gate, and human fallback belong.

Trigger AI job or rule Validation Action and fallback
RFQ approved for release Use deterministic fields for ID, version, vendor list, deadline, currency, and units. Confirm the same version is attached to every recipient record. Issue the request. Procurement owner corrects missing or conflicting requirements.
Vendor response arrives Register the attachment and timestamp. AI is optional for extracting candidate fields. Check vendor identity, RFQ version, file reference, required fields, and response state. Place incomplete or late responses in a named exception state for reviewer action.
Response enters comparison Normalize descriptions or currency only under defined rules. Preserve original values. Reconcile line items, tax, shipping, discounts, currency, delivery, and total within a stated tolerance. Compare evaluated cost and terms. Reviewer resolves mismatches instead of accepting guesses.
Award decision is ready No AI decision is required. Use the approved evaluation basis. Confirm mandatory requirements, approver identity, rationale, and RFQ version. Record the decision and retain all bids. Do not create a purchase order until the organization’s approval process is complete.

Where Word stops being enough

Word and email are workable for a one-off request with a named owner. Repeated sourcing, many suppliers or line items, multiple reviewers, frequent revisions, or a need to preserve decision evidence can make manual reconciliation unreliable. Attachments may drift across versions, and free-form responses take effort to normalize.

Editable files are not inherently insecure. The exposure depends on the email system, sharing method, access settings, attachment controls, retention policy, and data sensitivity. Confidential supplier pricing and personal contact details need deliberate protection regardless of the document format.

Move to a shared workflow when different people need to track deadlines, responses, reviews, and decisions against the same RFQ version. A task workspace can organize ownership and status, but structured tracking alone does not establish supplier-response ingestion, ERP synchronization, database uniqueness, or audit-grade approval.

What a ClickUp RFQ template can and cannot do

The official ClickUp Request for Quote template is presented as a free-to-add Doc template that requires a ClickUp Workspace. Its page lists custom statuses, fields, views, comments, nested subtasks, and assignees. Those features can organize RFQ work. The page also suggests using Automations to send RFQs, but it does not establish preconfigured multi-vendor distribution, recipient controls, response ingestion, bid comparison, or duplicate prevention.

ClickUp’s official documentation describes email Automations based on configured triggers, conditions, and actions. Availability can depend on plan and role. The Email ClickApp must be enabled by an owner or admin, and some users may need an additional permission. ClickUp also documents sending an email after a Form creates a task. That workflow is not the same as sending an RFQ to a selected supplier list and collecting supplier bids. Forms are available on paid plans, so check the current email Automation requirements before configuring outbound messages.

The ClickUp Quote Form template is an official List template with documented statuses and custom fields for quote tracking. It can help organize quote work, while email Automations and recurring follow-up tasks must be configured separately where available. Do not assume that the template includes built-in price calculation, electronic signatures, vendor-response ingestion, or approval controls.

For teams using ClickUp, decide first what is the system of record for issued RFQs, vendor responses, and award decisions. Then configure fields, owners, statuses, access, and notifications. Test with a sample request, an incomplete response, a revision, and a duplicate submission.

Use AI for extraction only after the RFQ data is defined

AI can help extract candidate line descriptions and values when suppliers use different document layouts or wording. It should not supply missing values, decide compliance, select a vendor, change a price, or create a purchase order. Deterministic rules are better suited to identity, required fields, numeric validity, currency, and duplicate handling.

The following schema is illustrative. It represents one extracted response for one known RFQ version. In a real system, a revised submission needs its own response version or supersedes reference, and each line item needs a stable identifier within that response.

{
  "source_document_id": "DOC-4521",
  "rfq_id": "RFQ-2026-014",
  "rfq_version": 1,
  "vendor_id": "V-0082",
  "response_id": "RESP-2026-014-0082-01",
  "response_version": 1,
  "currency": "USD",
  "quoted_total": null,
  "review_state": "needs_validation",
  "line_items": [
    {
      "line_item_id": "L-01",
      "description": "Extracted description",
      "quantity": null,
      "unit_price": null,
      "source_page": null
    }
  ]
}

Validate that required fields are present, numbers parse correctly, currency and RFQ version match, quote validity has not expired, and the total reconciles to line items, tax, and shipping within a defined rounding tolerance. Save the original attachment, a stable file reference or hash, source page, extraction result, reviewer, and review state. Send nulls, mismatches, or uncertain interpretations to a person rather than filling them with guesses.

Check before comparing or awarding
  • RFQ ID, version, vendor identity, response ID, and source file are linked.
  • Quantity, unit, currency, deadline, and required fields are present and valid.
  • Tax, shipping, discounts, and delivery terms are accounted for consistently.
  • The quoted total reconciles to line items within a defined tolerance.
  • Revised responses are retained as revisions, not silently substituted.
  • A human reviewer resolves exceptions and an authorized approver records the decision.

If concurrent processes write extracted records to a database, enforce uniqueness with a database constraint or transactional upsert. For example, a proposed response constraint could be UNIQUE(RFQ_ID, RFQ_VERSION, VENDOR_ID, RESPONSE_VERSION). This is an implementation recommendation, not a published ClickUp data model.

A practical adoption decision

Choose the least complex operating model that preserves the RFQ version, every vendor response, the comparison basis, and the human decision record.

  • One-off, low-complexity request: use a controlled Word RFQ and comparison register with a named procurement owner.
  • Repeated work with shared ownership: use a task workflow to track status, reviewers, deadlines, and exceptions. An optional ClickUp workflow audit can help assess existing fields, permissions, and process design.
  • Automated supplier intake or downstream system writes: select a procurement platform or design an integration only after confirming the data path, access controls, validation, duplicate handling, and approval requirements. Do not assume a template supplies those capabilities.

Measure the process with observable indicators such as complete responses received by deadline, unresolved exceptions, review turnaround, and decisions with a recorded rationale. Establish the system of record and record owner before automating notifications or extraction. Teams that need help configuring a ClickUp workspace can review ClickUp setup and automation support.

Templates are a useful starting point when they make requirements and responses consistent. They become safe operating tools only when versioning, validation, provenance, access, and human approval are designed around them.
