Getting started with Intercom on Zapier
This guide explains how to connect Intercom to Zapier so you can automate workflows between your Intercom workspace and thousands of other apps. You will learn how to connect your account, set up triggers and actions, test your Zaps, and troubleshoot common issues.
What you need before using Intercom with Zapier
Before you create your first automation, make sure you have the right access in both tools.
- An active Intercom account.
- An active Zapier account.
- Admin or appropriate permissions in Intercom to install apps.
- Access to the Intercom workspace you want to connect.
If you work in a team, check with your Intercom administrator that you are allowed to install and authorize apps in the workspace.
How to connect Intercom to Zapier
You can connect Intercom to Zapier from inside your Zap editor when you first add an Intercom step.
-
Sign in to your Zapier account.
-
Create a new Zap from your dashboard.
-
In the trigger or action step, search for Intercom as the app.
-
When prompted to sign in, select Connect a new account.
-
A secure window will open asking you to log in to Intercom if you are not already logged in.
-
Review the access requested by Zapier and click Authorize access to grant permission.
After authorization, your Intercom account will appear in the list of available accounts in Zapier. You can reuse this connection in future Zaps without repeating the authorization flow, unless you revoke access in Intercom.
Choosing Intercom triggers in Zapier
Triggers start your Zap whenever something happens in Intercom. When you add Intercom as the trigger app in Zapier, you can choose from several trigger events depending on the version of the Intercom integration.
Common trigger examples include:
- New lead created.
- New user created.
- New conversation started.
- Tag added to a user or lead.
After you choose a trigger event, Zapier will ask you to select the Intercom account you connected earlier. Then you can configure trigger options, such as filters or specific data types, when those are available for the event you selected.
Testing your Intercom trigger in Zapier
Once your trigger is set up, run a test so Zapier can pull in a recent record from Intercom. This helps you map data correctly in later steps.
-
In the trigger step, click Test or Test trigger.
-
Zapier will look for the most recent matching event in your Intercom workspace.
-
Confirm that the sample data includes the fields you expect, like contact details, conversation text, or tags.
If Zapier cannot find a sample, create a new test record in Intercom that matches your trigger conditions, then run the test again.
Setting Intercom actions in Zapier
Actions tell Zapier what to do in Intercom (or another app) after a trigger fires. You can add Intercom as an action step, or pair Intercom with another app as the destination.
Typical Intercom actions available in Zapier may include:
- Create or update a lead.
- Create or update a user.
- Create a conversation.
- Attach a note to a conversation, user, or lead.
- Add or remove a tag.
When you configure an action, you will map fields from your trigger data into Intercom fields. For example, map an email address from a form submission to the email field in a new Intercom lead.
How to test Intercom actions in Zapier
After mapping your fields, always send a test from Zapier to confirm the action behaves as expected.
-
In the action step, click Test or Test action.
-
Zapier will send sample data to Intercom using the field mapping you configured.
-
Open Intercom and confirm that a new or updated record appears with the correct values.
If the test fails, review the error message in Zapier, adjust any required fields or formatting, and try the test again.
Managing your Intercom connection in Zapier
You can manage your connected Intercom accounts directly from your Zapier account settings, without editing a specific Zap.
-
In Zapier, go to My Apps.
-
Search for Intercom in the list of connected apps.
-
Click it to view your existing connections.
From here, you can:
- Reconnect an account if the connection has expired.
- Rename the connection to make it easier to identify.
- Remove an Intercom account you no longer use with Zapier.
If you delete an account connection, any Zaps that use that connection will stop working until you reconnect or choose a different account.
Troubleshooting Intercom and Zapier
If your Zap does not run as expected, or Zapier returns an error when talking to Intercom, use the steps below to troubleshoot.
Check your Intercom permissions
Make sure the Intercom user who authorized Zapier still has the correct role and permissions. If their access was downgraded or removed, the connection can fail.
- Confirm that the user still exists in your Intercom workspace.
- Verify they can access conversations, users, leads, or tags used in your Zaps.
If needed, have an admin reauthorize Intercom in Zapier using an account with sufficient permissions.
Review Zap history in Zapier
Zap history shows every time your automation runs and any errors returned by Intercom.
-
Open your Zap in Zapier.
-
Click the Zap history or Run log link.
-
Review recent runs for error messages or missing data.
Error details often point to specific issues, such as invalid email addresses, required fields not filled in, or resources that no longer exist in Intercom.
Reconnect Intercom to Zapier
If you see authentication errors, the token that Zapier uses to access Intercom may have expired or been revoked.
-
Go to My Apps in Zapier.
-
Find your Intercom account and click Reconnect.
-
Follow the prompts to authorize access again.
After reconnecting, run a test on your trigger and action steps to ensure communication between Intercom and Zapier is restored.
