Shorten URLs with Zapier

Shorten URLs with Zapier in your workflows

Using Zapier, you can automatically shorten long links inside your Zaps so they are easier to share, track, and manage across different apps.

This guide explains how to set up URL shortening, how the data is handled, and what limitations you should know before adding these steps to your automations.

How Zapier URL shortening works

Zapier offers a Formatter action that can turn long links into short URLs. These short links are then sent to the next action step in your Zap, such as email, chat, CRM, or other tools.

The key points to understand are:

  • URL shortening is performed by a Formatter action inside your Zap.
  • Zapier sends the original link to a URL shortening service and returns the short link.
  • The short URL is stored only as part of your task data; it is not publicized by Zapier.

Because the short link is generated inside your automation, it can be reused in later steps wherever a URL field is available.

Create a Zapier Formatter step to shorten URLs

To shorten URLs in a Zap, you add a Formatter action that processes the link before it reaches your final app. Follow the steps below to configure this type of action.

1. Add the Zapier Formatter app to your Zap

  1. In your Zap editor, click + Add step where you want the link to be shortened.
  2. Search for and select Formatter by Zapier.
  3. Choose Event based on the interface you see:
  • If you see Event options, pick a suitable Formatter event that allows URL fields, typically under Text or a similar category.
  • If you see a more granular setup, you may be prompted to choose a specific transform field for a URL.

Once the Formatter by Zapier app is added, continue to configure the action.

2. Configure the Zapier action fields

The exact options you see can change as Zapier updates products, but the general pattern is the same. You will need to:

  1. Select the field that contains the original URL from a previous step in your Zap.
  2. Map this field into the input box for the Formatter action.
  3. Confirm any additional required settings, if shown.

After you configure the input fields, test the step. The test should produce a shortened URL in the output data of the Formatter by Zapier action.

3. Use the shortened URL in later Zapier steps

After the test run, the shortened URL is available as a new data output from the Formatter step within Zapier. To use it in later actions:

  1. Open the next action step in your Zap.
  2. In the field where you want to place the link, insert data from the Formatter action.
  3. Select the output field that represents the shortened URL.

Each time the Zap runs, Zapier will shorten the original URL and pass that short link through to the selected fields.

What Zapier does with your shortened links

When you use this feature, Zapier relies on an internal link-shortening system that is not publicly browsable. This means:

  • The original URL is transmitted only as necessary to create the shortened link.
  • The resulting short URL is stored as part of your Zap task data.
  • The short link is not listed in any public directory or index by Zapier.

Only users or systems that receive the short link from your app actions will be able to click it. Zapier does not expose a page where your link history is visible.

Limitations of Zapier URL shortening

There are a few important limitations to consider when you add URL shortening to your Zaps.

No built-in click tracking in Zapier

Zapier does not currently provide click tracking for shortened URLs created in Formatter actions. You cannot view statistics like total clicks, referrals, or geography inside the platform.

If you need analytics, consider:

  • Using a dedicated link-shortening and tracking tool that integrates with Zapier.
  • Sending events to an analytics system when links are delivered or used, if supported by your connected apps.

No public link listing or management dashboard

Zapier does not offer a public link listing where you can see all shortened URLs created by your account. The only place you will see those short links is in:

  • Zap run history and task data.
  • Fields and messages sent by your connected apps.

Link management, such as editing or disabling individual links, is not handled by Zapier’s internal URL shortener.

Changes in the Zapier product interface

The URL shortening feature is part of the broader Formatter tools. Zapier may update the interface over time, which can result in different labels or field names than those described here.

However, the basic flow remains the same: add a Formatter by Zapier action, map a URL field into it, then pass the shortened result to later steps.

Practical uses of Zapier URL shortening

Here are common ways teams use shortened links inside their automations:

  • Sending compact URLs in SMS notifications where character limits matter.
  • Adding short links to social media posts generated by Zapier.
  • Including concise URLs in transactional or marketing email campaigns.
  • Sharing internal resources with support or sales tools through Zaps.

Because the transformation happens automatically, users do not need to manually create short links outside of their Zapier workflows.

Zapier best practices for safe URL use

To make the most of this feature while keeping links reliable and useful, follow these practices:

  • Always test new Zaps that shorten URLs to confirm the short link opens the expected destination.
  • Keep the original URL stored in earlier steps or in your source app so you can reference it if needed.
  • Use descriptive context in messages that contain short links so recipients know what they are clicking.

By following these habits, your teams can depend on automated links created through Zapier.
