Before you connect WebinarJam to Zapier

To use WebinarJam or EverWebinar with Zapier, make sure you have:

  • An active WebinarJam or EverWebinar account with access to the web admin area.
  • A Zapier account with permission to create and edit Zaps.
  • At least one webinar or session created in WebinarJam or EverWebinar.
  • Login access to any other apps you want to connect with Zapier, such as CRMs, email tools, or spreadsheets.

Check that you can log in to all accounts in your browser before you start building workflows in Zapier.

How to connect WebinarJam and EverWebinar in Zapier

Follow these steps to connect your webinar account to Zapier for the first time.

Step 1: Start a new Zapier workflow

  1. Sign in to your Zapier account.
  2. Click Create and choose Zap.
  3. In the trigger search box, type WebinarJam / EverWebinar and select it from the list.

You are now ready to choose a trigger event that will start your automation in Zapier.

Step 2: Choose a WebinarJam Zapier trigger

Depending on your plan and configuration, you may see some or all of these common triggers:

  • New Registration: fires when a new attendee registers for a webinar.
  • New Live Attendee: fires when a registrant attends a live session.
  • New Missed Attendee: fires when someone registered but did not attend.
  • New Webinar: fires when a new webinar is created.

Choose the trigger that matches the part of the webinar process you want Zapier to automate, then click Continue.

Step 3: Connect your WebinarJam account to Zapier

  1. In the trigger step, click Sign in or Connect a new account.
  2. A pop-up window will open and request your WebinarJam or EverWebinar API key.
  3. Go to your WebinarJam or EverWebinar admin dashboard in another tab.
  4. Locate the API key section (usually under Integrations or API settings).
  5. Copy the API key and paste it into the Zapier connection window.
  6. Confirm the connection and click Continue.

Zapier will now be authorized to pull webinar data and trigger actions in other apps you connect.

Step 4: Set up the WebinarJam trigger in Zapier

  1. After your account is connected, choose the specific webinar or session from the dropdown list, if required.
  2. Select any filters such as live webinars vs. automated webinars, date ranges, or specific schedules, depending on the trigger.
  3. Click Continue and then Test trigger.

Zapier will look for a recent example record from WebinarJam or EverWebinar to help you map fields in later steps. If no data is found, add a test registration or attendee in WebinarJam, then run the trigger test again.

How to add actions after a WebinarJam trigger in Zapier

Once your trigger is configured, you can add one or more actions to your Zap. These actions run in other apps whenever the WebinarJam or EverWebinar trigger occurs.

Common Zapier actions for WebinarJam workflows

Popular ways to use WebinarJam data with Zapier include:

  • Adding new registrants to a CRM or spreadsheet.
  • Subscribing attendees to an email marketing list.
  • Tagging contacts based on attendance or non-attendance.
  • Sending internal notifications to your team when someone registers.
  • Creating tasks or notes for follow-up in project management tools.

To add an action in Zapier:

  1. Click + Add action.
  2. Search for the app you want to connect, such as Gmail, Google Sheets, HubSpot, or another service.
  3. Choose an Action Event like Create Contact, Add Row, Send Email, or Create Task.
  4. Connect the chosen app account to Zapier if you have not already.

Map WebinarJam fields to your Zapier action

After choosing an action, you will map WebinarJam data from the trigger to fields in your target app.

  • Click into a field in the action step, such as First Name or Email.
  • In the dropdown, select the corresponding data from the WebinarJam trigger sample.
  • Repeat for all important fields like name, email, webinar title, date, and custom responses.

Click Continue and then Test step to send sample data through Zapier to your chosen app.

Testing and turning on your Zapier automation

Before you enable an automation, confirm that the data from WebinarJam looks correct in the connected app.

  1. Review the test result in Zapier to ensure the status is successful.
  2. Open the target app in another tab and confirm that the new record, email, or task appears.
  3. If anything is missing, return to the action step and adjust your field mapping.
  4. When satisfied, click Publish or Turn on Zap to activate the workflow.

Your integration will now run automatically every time the WebinarJam or EverWebinar trigger event occurs.

Troubleshooting WebinarJam and Zapier issues

If your workflow is not behaving as expected, review these common causes and solutions.

Connection and authentication problems

  • Invalid API key: Re-copy the API key from your WebinarJam or EverWebinar settings and reconnect it in Zapier.
  • Changed password or account: If you updated login credentials in WebinarJam, re-authenticate the connection in Zapier under My Apps.
  • Account permissions: Ensure your WebinarJam user has permission to access the webinar and the API area.

Missing or outdated webinar data in Zapier

  • If Zapier cannot find a sample record, create a new test registration or attendee in WebinarJam and run Test trigger again.
  • Confirm that you selected the correct webinar, schedule, or session within the trigger settings.
  • Check that the webinar is active and not deleted or archived in WebinarJam or EverWebinar.

Unexpected results in your action apps

  • Review the Task History in Zapier to see detailed input and output for each run.
  • Verify that required fields are mapped correctly and are not left blank.
  • Look for formatting issues, such as combining first and last names incorrectly, and adjust your field mapping as needed.
