Zendesk Alternatives: Compare Cost, CRM, AI, and Migration

There is no single best Zendesk alternative for every team. Start by deciding which platform should own customer records, then shortlist products by required channels, voice model, support volume, AI billing, reporting, and migration scope.

Choose a CRM-centered service platform when sales, support, and customer success need the same account context. Choose a specialized help desk when its ecommerce, product-support, or collaborative workflow better matches the operation. In either case, compare the configured workflow and annual cost, not only the advertised starting seat price.

Pricing examples in this guide were checked on October 11, 2026. They are public-page snapshots, not quotes. Prices, packaging, regional availability, usage allowances, and contract terms can change, so confirm the selected edition and configuration before buying.

Start with the operating model, not the feature checklist

Before comparing vendors, define the system of record for contacts, companies, subscriptions, orders, account status, conversations, and service history. Your CRM may own contacts and companies while the help desk owns tickets and service workflows. Document how those records will be associated after the switch.

An integration listing does not prove that agents will see a complete customer history. Test the actual workspace with a known customer, a support interaction, and the account fields agents need to read or update. Match records using a verified email, external customer ID, or another approved identifier, not a display name alone. If more than one record matches, route the case for review rather than creating an unverified association. For help defining the CRM boundary, see CRM systems consulting.

Map the channels agents actually use and test handoffs between them. A product may list email, chat, messaging, social channels, and voice without presenting one continuous history. Record whether each channel is included, integrated through a first-party service, dependent on a third party, or available only through a higher edition.

Assign requirements to four owners:

  • Service operations: channels, routing, SLAs, escalations, reporting, and agent workflow.
  • CRM administration: identity matching, record ownership, associations, field permissions, and data quality.
  • Finance: seats, seasonal volume, AI usage, voice, messaging, onboarding, and annual cost.
  • Security and privacy: access controls, auditability, retention, sandbox access, export, API permissions, and sensitive-field handling.

Separate seat, ticket, session, resolution, outcome, conversation, and credit charges. These are different billing units. A vendor-defined AI outcome is not automatically a customer-confirmed resolution. Voice also needs a precise definition: included calling, a first-party telephony integration, a third-party provider, or a separately priced contact-center product.

Compare the platform that owns customer context and the complete service workflow, not the number of boxes checked on a feature list.

Compare Zendesk alternatives by fit and billing model

The shortlist below identifies products that deserve a proof of fit. It is not a universal ranking, and the products do not offer equivalent features on equivalent editions. Record the exact edition, billing period, region, seat count, expected ticket volume, AI unit, voice arrangement, and required integrations for every candidate.

Platform Why evaluate it Cost or capability check
HubSpot Service Hub Support alongside a shared CRM and customer record. The reviewed page lists Free at $0, Starter from $10 per seat per month, Professional at $100, and Enterprise at $150. Confirm package limits, taxes, onboarding, and promotional terms.
Freshdesk A direct help-desk comparison for ticketing and service workflows. Annual pricing shown is Growth $19, Pro $55, and Enterprise $89 per agent per month. The page includes the first 500 Freddy AI Agent sessions, while additional use and Copilot have separate conditions.
Zoho Desk A candidate for Zoho-centered environments and edition-based service tooling. Pricing is regional and dynamically rendered. Verify the selected currency and edition. Zoho Voice is documented as an integration for Desk Professional and Enterprise, not as blanket native calling across all plans.
Help Scout A shared inbox with digital channels and AI Answers. The page lists Standard at $25, Plus at $45, and Pro at $75 per user per month. AI Answers is listed at $0.75 per vendor-defined resolution. Voice is shown through an integration.
Intercom Product-led support, in-app conversations, and Fin procedures. Fin uses outcome-based pricing. Several reviewed outcomes are $0.99, while qualification outcomes have a different listed price. Confirm API access, workspace approval, and the applicable outcome definition.
Gorgias Ecommerce support workflows and store-related actions. Model ticket charges at expected and peak volume, then add AI Agent usage. A qualifying human response, AI response, or automatic-rule message can create a billable ticket under Gorgias’s billing definition.
Front Collaborative customer operations across support, sales, and success. Published tiers include Starter at $25, Professional at $65, and Enterprise at $105 per seat per month, with seat limits. Autopilot, Copilot, Smart QA, Smart CSAT, and API rate-limit increases have separate inclusion or pricing conditions.
Salesforce Service Cloud Salesforce-centered service operations and CRM customization. Model base service licensing separately from Agentforce, add-ons, Flex Credits, conversation pricing, Digital Engagement, and voice. Service Cloud Voice is separately priced in Salesforce add-on material.
Plain An API-first option for technical support teams. The current page lists Foundation at $35 per month for one seat plus $35 per additional seat, Horizon at $299 for three seats plus $99 per additional seat, and Frontier as custom pricing. Check current seat and credit allowances.

Zendesk itself also packages capabilities through plans and add-ons. Its official documentation confirms that Copilot, sandboxes, Suite + Copilot, and Contact Center can depend on product family, edition, and configuration, but it does not verify the older combined price figures sometimes quoted in comparisons. Request a quote for the same workflow used to evaluate alternatives.

CRM-centered service

Shared customer context

Prioritize record associations, field permissions, and cross-functional reporting when support, sales, and success need the same account facts. Verify what agents can see and write on the exact edition.

Specialized support

Workflow or channel fit

Prioritize a help desk whose ecommerce, product-support, or collaborative workflow matches the operation. Test what must be connected externally and whether the integration preserves useful history.

Gladly is not included in the verified comparison because its current public pricing and complete feature matrix were not checked for this review. Treat it as a separate research candidate rather than assigning it an unsupported price, ranking, or capability claim.

Model the configured annual cost

Use one worksheet for each candidate. The following is an editorial comparison model, not a vendor pricing schema:

  • Base subscription, full agent seats, and light or viewer seats.
  • AI agent sessions, resolutions, outcomes, or credits, plus agent-assist seats.
  • Voice or contact-center fees, messaging, knowledge-base, and portal charges.
  • API, connector, or usage charges, plus onboarding and migration.
  • Expected peak-period overage, contract minimums, and spending controls.

Calculate low, expected, and peak annual scenarios using the same staffing and usage assumptions for every vendor. Seat-based pricing may be easier to forecast for a stable, agent-heavy team. Ticket-based pricing can become less predictable during seasonal demand, while outcome, session, or credit models require an AI volume forecast and a review of caps or alerts.

Keep the assumptions beside each total: edition, region, billing period, seat count, monthly ticket volume, seasonal peak, AI billing unit, voice arrangement, and implementation scope. HubSpot’s current page lists Starter from $10, Professional at $100, and Enterprise at $150 per seat per month. Freshdesk’s current annual page lists Growth at $19, Pro at $55, and Enterprise at $89 per agent per month. These examples illustrate why dated snapshots and like-for-like configuration matter; they are not durable quotes.

Ask each vendor to confirm the modeled configuration and contract terms. Do not treat the base subscription as total cost when AI, voice, add-ons, messaging, onboarding, or migration are separate.

Test CRM, channels, voice, and AI as one workflow

Run a scripted proof of fit instead of relying on feature labels. Use one email, one required chat or messaging handoff, one voice interaction if voice matters, one AI-eligible inquiry, and one human escalation. For every test, record the customer identity, context visible to the agent, resulting record, chargeable event, and manual fallback.

For CRM association, use a known customer with a verified external ID or email. Confirm that the interaction attaches to the intended contact and, where required, the correct company or account. Store the match method and source identifier. Reject an ambiguous match and send it to a person before writing to the CRM. A concurrent integration should use a database-enforced unique key or transactional upsert, not a lookup-then-create sequence as its only duplicate control.

For channel continuity, send a test conversation through one required channel and hand it to another. Confirm that the receiving agent can see the relevant history, identity, attachments, and escalation state. For voice, separately test routing, caller matching, call logging, recording policy, consent requirements, and whether the charge belongs to the platform or an external provider.

Zoho’s official documentation describes Zoho Voice integration with Desk Professional and Enterprise, including caller lookup, screen pop-ups, call logging, and ticket creation. That supports a documented integration workflow, not a claim that every Zoho Desk edition includes native calling.

For AI, record the platform’s billing event separately from the customer’s actual outcome. Help Scout defines a resolution as a conversation resolved by AI without human assistance. Intercom documents different Fin outcome prices, including a different price for qualification outcomes. HubSpot documents Customer Agent sources including knowledge-base content, website content, CRM data, and historical conversations. None of these vendor-defined events independently proves that the customer considered the issue resolved.

Use deterministic rules for exact entitlement checks, SLA timers, approval thresholds, identity matching, duplicate suppression, required human review, and sensitive CRM writes. AI can draft or summarize, suggest an article, or propose an intent. A validation gate should parse the proposed intent against an approved list, verify identity, reject unknown values, and route billing disputes, security incidents, legal requests, or ambiguous matches to a person. See AI agent implementation for support with bounded agent workflows.

A practical proof-of-fit matrix

Trigger AI job Validation and destination Fallback
Customer asks a documented product question. Draft an answer from approved knowledge content. Check source scope and customer identity before writing to the conversation. Escalate when no approved source supports the answer.
Customer requests an account or billing change. Extract the requested intent and relevant fields. Match the customer using an approved identifier and require policy checks before a CRM write. Send to a service agent when identity or entitlement is ambiguous.
Conversation moves from chat to voice. Summarize permitted history for the receiving agent. Verify channel handoff, caller match, recording policy, and call logging. Use manual lookup and retain the original conversation if matching fails.
Fin or another AI agent reaches a configured procedure state. Run the approved procedure or prepare an escalation. Validate arguments, record the vendor outcome separately, and stop only at the documented terminal state. Route to a human for high-risk intent, unsupported input, or an intermediate state.

Plan migration as a data-quality and cutover project

Begin with an inventory of active workflows, macros, custom fields, integrations, SLAs, reports, brands, permissions, and history requirements. Retire unused configuration instead of reproducing technical debt. Define whether comments, attachments, ticket events, original timestamps, authors, deleted records, and audit history must be retained.

Zendesk documents native JSON, CSV, and XML account exports where enabled, with account-owner involvement and plan restrictions. Its documentation lists multiline text, multi-select fields, and custom date fields among CSV report omissions. That does not establish that every CSV export loses all ticket history. If those fields matter, test JSON, XML, REST API, ticket-event, comment, and attachment extraction against a representative sample.

For incremental ticket extraction, Zendesk recommends cursor-based exports where supported. Persist the returned cursor after each successfully stored page, continue from that cursor, and stop when the API indicates the stream is complete. The export excludes approximately the most recent minute to reduce race conditions, so plan a final reconciliation for records updated near cutover. Apply rate-limit backoff and checkpoint only after the page is durably saved.

The destination import path is product-specific. Before choosing a migration tool or import method, verify that the destination can create the needed record types, preserve required fields, associate users and companies, handle attachments and comments, and represent deleted or scrubbed records. The Zendesk export documentation establishes source-side behavior, not destination compatibility.

01Audit and define historyService operations inventories workflows and required records; the data owner defines retention, ownership, and acceptance criteria.
02Export and checkpointThe migration lead selects an enabled native export or API route, saves each page and cursor, and records the batch and source timestamps.
03Map and sample-importThe CRM or data owner maps identities and fields, then tests representative tickets, comments, attachments, custom fields, and timestamps in the destination.
04Reconcile and test workflowsThe migration lead compares counts by status and month, checks identity associations, and has service operations test routing, permissions, reports, and escalation.
05Train and cut overThe business owner approves the evidence and fallback; agents train on the new process, while the team keeps agreed read-only history or rollback access.

For each imported ticket, retain a migration manifest with source system, source ticket ID, export batch, extraction time, source update time, destination ID, transformation version, and import status. Enforce uniqueness on source_system + source_ticket_id with a database constraint or atomic upsert. A read-then-create check can race when workers run concurrently.

Ticket events need their own row grain and key, such as source_system + source_ticket_id + event_id. Do not use a ticket ID alone to deduplicate multiple comments, updates, or audit events. For AI runs, use a separate proposed key such as workspace_id + conversation_id + run_id. For citations, use a run-level key plus citation ordinal or a canonical source identifier and occurrence index. These are illustrative implementation controls, not vendor-published schemas.

This manifest is an illustrative migration record, not a Zendesk or destination-vendor schema. Keep separate rows for tickets, ticket events, AI runs, and citations. Record deleted or scrubbed records explicitly and follow the organization’s retention rules.

A two-to-four-week parallel period can be a useful risk-control option, not a vendor requirement or universal timeline. Set its duration from ticket volume, workflow risk, test results, and the ability to reconcile changes made during the overlap.

Use a decision gate before signing

Approve a replacement only when service operations, customer-data ownership, security, and budget owners accept the same evidence. Define measures at the correct grain: one row per ticket for ticket status, one row per ticket event for updates, one row per AI run for agent execution, and separate daily aggregates for operational trends.

Go/no-go evidence
  • A low, expected, and peak annual cost model uses the same staffing, volume, AI, and voice assumptions for each candidate.
  • Required channel handoffs and the selected voice arrangement work on the exact edition and region.
  • A representative migration sample reconciles by status and month, with customer associations, comments, attachments, and important fields checked.
  • Permissions, audit needs, retention, and ownership of customer records are documented.
  • Priority routing, escalation, CRM writes, and reporting pass named acceptance tests.
  • A fallback, history-access plan, concurrency-safe import method, and accountable cutover owner are agreed.

After launch, track first response time, reopen rate, SLA attainment, escalation rate, cost per resolved conversation, and AI handoff or outcome rate. Define each measure before comparing platforms. Keep vendor billing events distinct from customer-confirmed outcomes and from daily summary metrics.

Sources and pricing limits

Vendor prices and packaging may vary by region, contract, edition, and usage. The official pages linked below support the specific pricing, billing, product, AI, voice, and migration statements in this guide. They do not verify every feature or destination import path for every plan.

Confirm the exact edition and integration, obtain current commercial terms, and test migration fidelity with representative records before cutover.
