Google Workspace Alternatives: Choose the Right Suite

Microsoft 365 and Zoho Workplace are the closest candidates in this comparison when one subscription needs to cover business email, calendars, office documents, storage, meetings, and administration. ClickUp and Asana are primarily work-management products. LibreOffice is a downloadable desktop office suite. ONLYOFFICE offers cloud, desktop, mobile, and self-hosted options whose modules vary by package.

A practical replacement decision starts with coverage, not brand names. If a 24-person company needs email, calendars, office editors, cloud storage, external sharing, and controlled administration on day one, it should compare suite plans first. If it also needs stronger project coordination, ClickUp or Asana may be useful alongside those services rather than instead of them.

This is a decision guide, not a claim that every product is a drop-in replacement. Vendor pages and plan information were reviewed on October 28, 2026. The research did not test live accounts, file conversions, exports, APIs, or security configurations.

Which Google Workspace alternatives can replace the whole suite?

Start with Microsoft 365 and Zoho Workplace when the goal is to replace several core services through one suite offering. Compare the exact plan for business email, calendars, word processing, spreadsheets, presentations, storage, meetings, identity controls, and administration. A suite name does not prove that a particular edition includes everything your team needs.

ClickUp and Asana focus on projects, tasks, and team coordination. They can solve a work-management gap, but email, office editing, storage, meetings, and administration may still need separate services. LibreOffice provides desktop applications rather than a hosted collaboration suite. ONLYOFFICE provides several deployment models, but its modules must be checked for the selected package.

Before comparing prices, list the services that must work on the first day. Eliminate a candidate if it misses a mandatory capability and no separately funded service has an owner.

Define what “replacement” means for your team

Classify each candidate as a full-suite candidate, office-suite replacement, project-management tool, desktop or offline option, file-storage component, or self-hosted option. Then classify every requirement as included, separate purchase, integration-dependent, absent, or unverified. Unknown is not the same as supported.

Record the conditions that can change the result: user and guest counts, email domains and migration needs, file volume, operating systems, offline use, SSO and MFA, audit and retention requirements, external sharing, and data export. Verify material claims against the selected plan’s official documentation.

Use one record for each vendor, plan, region, billing mode, Teams variant, capability, source, and check date. Keep historical price observations instead of overwriting them. This lets procurement distinguish a current annual price from an older flexible price or a different regional edition.

{

  "region": "US",
  "billing_mode": "annual",
  "teams_variant": "not_applicable",

  "status": "unverified",
  "evidence_url": "official plan page",
  "checked_at": "2026-10-28",
  "reviewer": "procurement owner"
}

This is an illustrative assessment format, not a vendor template. A procurement or IT owner must verify each capability and retain the evidence. AI can help organize a written requirements list, but it should not decide whether a feature is included in a plan.

A product is a replacement only when it covers every required day-one job, or the remaining jobs have explicitly budgeted services and named owners.

Compare the strongest fits by replacement gap

Use this shortlist to decide which official plan pages to investigate. It describes product scope, not guaranteed coverage in every tier.

Product Strongest fit Replacement gap
Microsoft 365 Multi-application business suite candidate Check the exact plan, Teams variant, applications, storage, and administration controls.
Zoho Workplace Suite candidate with mail, collaboration, and office applications Confirm edition, included applications, storage, licensing, and regional availability.
ClickUp Work management, tasks, documents, and team coordination Source business email, calendars, office-suite functions, and other missing services separately.
Asana Project and work coordination It is not a complete business email, office-document, and cloud-drive suite.
LibreOffice Free downloadable desktop office applications Its official pages do not establish hosted email, cloud storage, or Google-style real-time collaboration.
ONLYOFFICE Office tools with cloud and self-hosted deployment options Verify the package and modules, then include hosting and maintenance if self-hosting.

Zoho’s official pricing page describes a free option for up to five users in select data centers. Confirm regional availability, included applications, and feature restrictions before using it in a business shortlist. ONLYOFFICE identifies Mail as a supported on-premises module, but that does not establish email or calendar availability in every cloud or self-hosted package.

Compare total cost, not just the headline price

The following are U.S. public-price snapshots checked October 28, 2026, shown per user per month. Taxes, geography, reseller terms, promotions, plan changes, seat rules, purchase route, Teams inclusion, AI packaging, and included applications can change the payable amount.

  • Google Workspace: Business Starter is listed at $7 on an annual or fixed-term plan and $8.40 on a flexible plan. Google’s billing comparison explains the commitment distinction.
  • Microsoft 365: Business Basic is listed at $7 paid yearly, or $5.40 for the version without Teams. Business Premium is listed at $22 paid yearly. Check the required variant and services on Microsoft’s business pricing page.
  • Zoho Workplace: Standard is listed at $3 and Professional at $6, billed annually. The free plan has regional and feature conditions.
  • ClickUp: Unlimited is listed at $7 and Business at $12, billed yearly. Billing applies at the Workspace level, and paid users added during a billing cycle may be prorated.
  • Asana: Starter is listed at $10.99 and Advanced at $24.99, billed annually. Its current public tier names are not the older Premium and Business labels used in some comparisons.

Calculate annual cost as actual paid seats multiplied by the applicable price and billing period. Add separately licensed email, storage, meetings, security controls, migration help, and self-hosting operations. Check minimum seats, guest charges, pooled or per-user storage, Teams inclusion, and required AI packaging before using the total in a budget decision.

Decision point

Do not compare a flexible monthly rate with an annual-only rate as though they were equivalent. Store the plan, region, billing mode, Teams variant, seat rules, included applications, and check date beside every price observation.

Run a representative migration pilot before committing

Choose sample files that reflect real work rather than testing only a simple document. Include a formula-heavy spreadsheet, a document with comments and tracked changes, a presentation with embedded media, shared folders with inherited permissions, external guest links, and files owned by departing users.

For each test case, check import, editing, export, external sharing, link restrictions, ownership transfer, version history, and mobile or offline use where relevant. Opening a file is not the same as preserving its formulas, formatting, comments, permissions, or export behavior. A spreadsheet that opens with a changed formula should fail a critical test until the application owner accepts or fixes the difference.

01Inventory representative workThe migration owner selects source files, permission patterns, external links, and high-risk workflows. Save immutable source copies and assign a test_case_id to each case.
02Run a controlled pilotA small pilot group imports and edits the samples, then checks sharing, permissions, export, mobile, and offline behavior required by the acceptance criteria.
03Record evidence by test caseThe reviewer records import results, formatting and formula changes, comments, permissions, exports, offline results, evidence links, and a pass or fail decision. A failed critical case goes to the application owner.
04Authorize, remediate, or stopThe IT or migration owner approves broader rollout only after critical tests pass or accepted changes have accountable owners. Otherwise remediate the gap or pause the migration.

A proposed pilot result should contain pilot_run_id, test_case_id, source_file_type, import_result, formatting_changes, formula_changes, comments_preserved, permission_result, export_result, offline_result, reviewer, and decision. Store one result per pilot run, test case, and reviewer. If several reviewers can submit concurrently, enforce a database uniqueness constraint on that row grain or use a transactional upsert with an explicit revision. Do not rely on a lookup-then-create sequence.

Check administration, privacy, and exit requirements

Verify SSO, provisioning, audit logs, retention, guest access, and administrative controls in the chosen plan rather than on a general product page. ClickUp’s pricing page, for example, lists advanced controls such as SAML SSO, SCIM provisioning, and audit logs on higher plans. Confirm the tier and terms that apply to your Workspace. For Zoho, use its subscription documentation to check edition-level application and licensing differences.

For self-hosting, assign owners and budget for infrastructure, backups, upgrades, security monitoring, and support. For every candidate, ask how shared files are handled when an employee leaves, whether ownership and permissions can be reassigned or exported, and how the organization will retrieve usable data if it changes providers.

The official pages reviewed establish product and plan information, not live tenant behavior, file-conversion fidelity, API results, or security configuration. Those outcomes require a controlled pilot and documented review.

Make the shortlist decision

Evaluate Microsoft 365 or Zoho Workplace first when the goal is a multi-application suite. Choose between them using confirmed plan coverage, administration, migration results, and total cost. Consider ClickUp or Asana when work coordination is the main gap, while assigning separate providers for capabilities they do not cover. Choose LibreOffice when desktop document editing and local use are central and other collaboration services are accounted for. Consider ONLYOFFICE when its deployment model fits and the exact modules and operating responsibilities are confirmed.

Approval checks before rollout
  • Every day-one requirement is verified in the selected plan or assigned to a budgeted service.
  • The cost model reflects actual seats, billing terms, required add-ons, and self-hosting work.
  • The migration pilot passes critical file, permission, sharing, and export tests.
  • Required identity, audit, retention, and guest controls have documented evidence.
  • Named owners are responsible for user departures, data retrieval, and operational exceptions.
